1.1 Introduction

In today's digital era, the integration of technology in educational institutions has


become crucial for efficient and effective management. An Online School
Management System (OSMS) streamlines the administrative tasks of educational
institutions, making it easier for administrators, teachers, parents, and students to
access and manage information. This proposal outlines the design and
implementation of an Online School Management System for Polytechnic
Secondary School.

1.2 Background

Polytechnic Secondary School is a leading educational institution committed to


providing quality education. The current system in place for managing student
records, attendance, grades, and communication is manual and inefficient. The
absence of an integrated system often leads to delays, errors, and difficulties in
accessing information.

1.3 Problem Statement

The existing manual system at Polytechnic Secondary School has several


challenges:

 Time-consuming and labor-intensive administrative tasks.


 Inaccurate and inconsistent data due to manual entry.
 Difficulty in accessing real-time information for stakeholders.
 Lack of a centralized system for managing student records, attendance, grades,
and communication.

1.4 Motivation for the Study

The motivation behind this study is to address the inefficiencies and challenges
faced by Polytechnic Secondary School in managing its administrative tasks. An
Online School Management System will automate and streamline the processes,
improving efficiency, accuracy, and communication among stakeholders.

1.5 Aim of the Study

The aim of this study is to design and implement an Online School Management
System for Polytechnic Secondary School.

1.5.1 Objectives of the Study

1. To analyze the existing manual system and identify its shortcomings.

2. To design a user-friendly and efficient Online School Management System


tailored to the specific needs of Polytechnic Secondary School.

3. To implement the designed system and ensure its smooth integration with the
existing infrastructure.

4. To train the school staff on using the new system effectively.

5. To evaluate the system's performance and user satisfaction.

1.6 Scope of the Study

The project will focus on the design and implementation of the online school
management system for Polytechnic Secondary School Idah. The scope
encompasses student data management, attendance tracking, grade management,
and communication features tailored to the specific needs of the school.

1.7 Significance

The significance of this study lies in:

 Improving the efficiency and accuracy of administrative tasks.
 Enhancing communication among stakeholders.
 Providing real-time access to information for better decision-making.
 Ensuring transparency and accountability in school management.

1.8 Limitations of the Study

 The study will focus only on Polytechnic Secondary School and may not be
generalized to other educational institutions.
 The success of the system implementation will depend on the cooperation and
adaptability of the school staff.

1.9 Literature Review

Several studies have highlighted the importance and benefits of implementing


Online School Management Systems in educational institutions. According to
Smith et al. (2020), an OSMS can significantly reduce administrative burdens,
improve data accuracy, and enhance communication among stakeholders.
Similarly, Jones (2021) emphasized the role of technology in transforming
traditional educational management systems and improving overall school
performance.

2.1 Methodology

The project will adopt a phased approach, including requirements gathering, system
design, implementation, testing, and deployment. The programming language that will be
use for the proposed school management system , is JavaScript, with inclusion of other
web technologies such as HTML and CSS. While for the database, PHP will be use
alongside with MySQL as a database server. The web-based platforms will be written
using VS Code text editor..

Other programming languages like bootstrap, python, java etc can be used for this
project but the above languages will be used due their high advantages and simplicity
when dealing with such project.

Front-end:

HTML-(Hypertext Markup Language) this is used to create and save web document.
E.g notepad.

CSS-(Cascading Style Sheets): this is used to create interactive layout.

JavaScript: this is a programming language, commonly use with web browsers.

Back-end:

MySQL- (Structured Query Language): this is a database, widely used for querying,
accessing, updating and managing data in database.

PHP-(Hypertext Preprocessor): this is a technology that allows software developers to


create dynamically generated types, as per client request. PHP is an open source software.

Other programming languages like bootstrap, python, java etc can be used for this
project but the above languages will be used due their high advantages and simplicity
when dealing with such project.

2.2 Expected Outcome

The expected outcome of this study is the successful design, development, and
implementation of an Online School Management System that will:

- Automate and streamline administrative tasks.

- Improve data accuracy and consistency.

- Enhance communication among teachers, parents, and students.

- Provide real-time access to information for better decision-making.
