Case Clinics Masterminds - by Presencing Institute

Case Clinics is a tool developed by the Presencing Institute at MIT. It’s a group coaching
methodology that allows a group to coach itself.

Follow the guide below to apply it to your group. You can download the original case clinics tool
here.

Total time: 70 minutes.

Once your group is established and everyone has arrived, the person with most experience of
this format takes on the role of the leader. After a few sessions anyone can take on that role.

Post the relevant section you see described below in the zoom chat just before it’s time so that
everyone can always see where the group is currently at and answer the questions
appropriately.

Distribute Roles: 10 minutes


■ 1. Case giver: Share your personal aspiration and leadership challenge
that is current, concrete, and important, and that you happen to be a key
player in. You should be able to present the case in 15 min and the case
should stand to benefit from the feedback of your peers. Include your
personal learning threshold (what you need to let-go of and learn).
■ 2. Coaches: Listen deeply—do not try to “fix” the problem, but listen
deeply to the case giver while also attending to the images, metaphors,
feelings and gestures that the story evokes in you.
■ 3. Time keeper: One of the coaches manages the time. Ideally someone
with a good phone app that shows on the screen. iPhones have a pretty
good one you can use.

Intro: 15 minutes
■ Intention statement by case giver. (5 min)
● Take a moment to reflect on your sense of calling. Then clarify
these questions:
1. Current situation: What key challenge or question are you up
against?
2. Stakeholders: How might others view this situation?
3. Intention: What future are you trying to create?
4. Learning threshold: What do you need to let-go of – and what
do you need to learn?
5. Help: Where do you need input or help?
■ Coaches listen deeply and may ask clarifying questions (don’t give
advice!), while presenter answers these briefly (10 min)

Stillness: 2 minutes
■ Listen to your heart: Connect with your heart to what you’re hearing.
■ Listen to what resonates: What images, metaphors, feelings and gestures
come up for you that capture the essence of what you heard?

Mirroring: 10 minutes
■ Mirroring:
● Images (Open Mind),
● Feelings (Open Heart),
● Gestures (Open Will) -
● Each coach shares the images/metaphors, feelings and gestures
that came up in the silence or while listening to the case story.
Having listened to all coaches, the case giver reflects back on
what s/he heard.

Generative Dialogue: 10 minutes


■ All reflect on remarks by the case giver and move into a generative
dialogue on how these observations can offer new perspectives on the
case giver’s situation and journey.
■ Go with the flow of the dialogue. Build on each other’s ideas. Stay in
service of the case giver without pressure to fix or resolve his/her
challenge.

Closing Remarks: 6 minutes (+ 2 min Journaling)


■ By coaches: What do I think is the key issue to address? What action do
I propose?
■ By case giver: What new ideas does this give me to think about? How
can I use these ideas as we go forward in my community? Thanks &
acknowledgment: An expression of genuine appreciation to each other.
■ Individual journaling to capture the learning points

Wrap-up: 5 mins
■ Share in turn your 1-2 insights or wins from this mastermind session
■ Send feedback form in the comments and ask people to fill them out right
away
■ Ask everyone to confirm whether they can come next week
■ Event is over, share a moment of gratitude, remind of next week’s topic,
moment of silence and dismiss.

FAQ
● What do I do when people are late?
○ Continue with the agenda and introduce them into the group or context once the
opportunity arises. Imagine a room full of people in an event talking about
something and a new person joining. Normally the new person would observe for
a few minutes until he/she is ready to join in. It’s the same here.
● How do I handle no shows?
○ Don’t spend too much time on no-shows, if your mastermind falls below 5 regular
attending people, gently reach out to everyone and encourage them to either
commit or step out. Move into open mastermind format if you see that your
number is diminishing over time.
● Should I record the mastermind sessions?
○ No. The mastermind sessions are fueled by live attendings. No recordings makes
people feel safer in the room + encourages everyone to show up.
