GUIDELINES FOR PREPARING FINAL YEAR PROJECT REPORT

Project report is a written evidence of tasks, refers to the original research, processes and
activities that are conducted and accomplished by the students in fulfilment of the requirements
for a bachelor degree. Detailed guidelines have to be adhered to strictly for the submission of
final year projects.

The Structure of Page Arrangements for the Project Report


The sequel of pages and their hierarchical arrangement play a pivotal role in structuring the
project report properly and interlinking the vital elements of the report in the best possible
format.

1. GOALS
a) Learn to handle a large technical project.
b) Learn good project management skills.

2. USEFUL KNOWLEDGE ABOUT THE PROJECT


Students of final year should do a literature review to find updated information about their
research topic. Such information should be obtained from conferences and journal papers.
Conferences are short publications of 4 to 8 pages. Journals are long publications describing
more mature and in depth results. Useful views can be obtained through resources on the web
such as Wikipedia. Get familiar with the how to use the resources below:

It lists both journal and conference articles. A very useful feature is the links to papers that have
cited the work. Very glance information can be found out this way.
Science Direct
http://www.sciencedirect.com/
Another useful database that collects journal articles.
Web Resources
Wikipedia is a free online dictionary that is extremely useful for getting an overview of a
technique.

A useful publicly available free database, but the quality of the citations is less good than the
professional Scopus and Web of Knowledge.

3. STUDENTS OF FINAL YEAR - MEETINGS


a) Three hour weekly regular meetings as per time table including 1 st and 3rd Saturday 2 hour
meeting is conducted with respective guides.
b) Students are welcomed to have other meetings with guide and also with project
coordinator if required. The responsibility to arrange other meetings lies with you. You
should take the initiative to arrange meetings.
c) When you attend/arrange a meeting, there should be agenda of topics to be discussed.
Normally, it is expected that the meeting should be with proper discussion and you should
give demo of title. A meeting with no agenda is a waste of time.
d) However, there may be other types of meeting. This happens when you need clarification
of directions, encounter an obstacle that you cannot solve, cannot find critical equipment,
etc. Don’t be afraid to call a meeting of this nature, but inform guide or project coordinator
the problem before the meeting.

4. PROJECT PLANNING FLOWCHART


1. Students of each group need to submit a planning flow chart to the guide and project
coordinator by last week of Odd semester.
2. The planning flow chart should identify the title and assign the estimated date for achieving
them.
4. It is a good idea to break down the project into many areas. By doing so, one can get a
good idea of what needs to be done, and whether the project is feasible. A project is
infeasible if some ideas are found to be vague or un-achievable. There are many ways to
solve problems.
5. Some extra time and effort should be done in your planning. Project may and often delay.
6. There will be three progressive seminars in odd and even semester. Project presentation
and submission of report on the seminar day.
7. Different people have different presentation style and ways of organizing a talk.
8. Your presentation should be self contained. No symbols should be left unexplained.

4. PREPARING YOUR PRESENTATION


1. In your first slide, show the title of the project, students name, guide name.

2. In your second slide, list of objectives. Make sure that they are clear, in point form and
well defined one after the other.
3. Two or three slides on the importance and background of the project. Why the project is
important and worth doing.
4. The bulk of the presentation is what you have done in the project. Divide it into
a) Aim and objective: The assessment panel consists of Professors. You must present your
work i) technically of a high standard; ii) clearly understood by everyone.
b) Experimental Results: Include the full experimental setup.
• Data - Organize your data into tables, graphs, images.
• Make use of animation in power point to present and highlight your data and findings.
• If possible, include a demo, which would make a more attractive presentation.
5. Use a slide to conclude. Your conclusions should be in point form. Each point should
clearly states what you have found.
6. The last slide is a slide “Question and Answer”.
7. Check the grammar of your power point. Make sure that the English is good and there is no
spelling mistake.
8. Rehearse your presentation beforehand. It is a good idea to rehearse it with fellow students.
9. There is an assessment form used by Assessors.

7. PROGRESS REPORT
1. Students need to submit a progress report to the Project coordinator by the time of each
progressive seminar.
2. Take the opportunity to prepare an excellent progress report as it may be possible to re-use
some parts of the progress report (e.g. the survey) in your final report.
3. Make sure that you use MS Word to spell and grammar check before you hand in.

8. i) ARRANGEMENT OF CONTENTS
The sequence in which the project report should be arranged and bound should be as follows:
1. Cover Page & Title Page
2. Certificate
3. Abstract.
4. Table of Contents.

5. List of Tables.

i) Title & Cover Page
A sample format of the Title & Cover Page of the project report are given in Appendix 1.
ii) Language and Units
The report should be written in English and SI units should be used.
iii) Page Format, Font and Colour
The paper format should be A4 size paper. A margin of 4 cm must be provided on the left
hand side, while the other sides should have margins of 3 cm. Times New Roman, 12 points,
or similar font and double spacing must be used. Avoid the use of colour in plots.
iv) Certificate
The Certificate shall be in double line spacing using Font Style Times New Roman and Font
Size 14, as per the format in Appendix 2. The certificate shall carry the project guide
signature and shall be followed by the guides name, HOD name, Project Coordinator and
Principals name with academic designation, department and full address of the institution
where the guide has guided the student.
v) Abstract
Abstract should be one page of the project report typed double line spacing, Font Style Times
New Roman and Font Size 12.
vi) Table of Contents
The table of contents should list all details following it as well as any detail which precedes it.
The title page and Certificate will not find a place among the items listed in the Table of
Contents but the page numbers of which are in lower case Roman letters. One and a half
spacing should be adopted for typing the matter under this head. A specimen copy of the
Table of Contents of the project report is given in Appendix 3.

The list should use exactly the same captions as they appear above the tables in the text. One
and a half spacing should be adopted for typing the matter under this head.
viii) List of Figures
The list should use exactly the same captions as they appear below the figures in the text. One
and a half spacing should be adopted for typing the matter under this head.
ix) List of Symbols, Abbreviations and Nomenclature
One and a half spacing should be adopted or typing the matter under this head. Standard
symbols, abbreviations etc. should be used.
x) Chapters
The chapters may be broadly divided into 3 parts
(i) Introductory chapter,
(ii) Chapters developing the main theme of the project work.
(iii) Scope of work.
(iv) Conclusion.
The main text will be divided into several chapters and each chapter may be further
divided into several divisions and sub-divisions. Each chapter should be given an appropriate
title.
xi) Appendices
Appendices are provided to give supplementary information, which is included in the
main text. Appendices should be numbered using Arabic numerals, e.g. Appendix 1,
Appendix 2, etc.
xii) List of References
The listing of references should be typed 4 spaces below the heading “REFERENCES”
in alphabetical order in single spacing left – justified. The reference material should be listed
in the alphabetical order of the first author. The name of the author/authors should be
immediately followed by the year and other details.
A typical illustrative list given below relates to the citation example quoted above.

9. DO NOT COMMIT PLAGIARISM
1. Everything written must be original. No cut and paste is accepted, even if you acknowledge
the source.
2. No sentences should be the same. It is usually unacceptable when two or more consecutive
sentences are the same, though of course it should be judged case by case.
3. If a figure is not drawn by yourself, you should acknowledge the source in the legend.
4. Before your report is submitted, you need to submit it to an anti-plagiarism system for
plagiarism check. Plagiarism will lead to failure or lowering of grades.
