2. Upload: This is used to add files or folders to your OneDrive storage.
3. Sort: This is used to change how you'd like to view your files which
could be A-Z or Z-A.
4. View: This is used to change the view. Changes the way the files are
shown in the content pane.
5. Details Pane: Opens the file details pane (this button is always
visible).
6. Information: This is used to see details like who has Access and
Activity or the properties of a particular file. Or, hover the cursor
over a file and information will appear.
7. Keywords and tags: They are used to search for files or folders.
Note: The button in the Toolbar will change at the mercy of what is selected
in the Content Pane. When you select a file or folder, a new menu will pop
up letting you select what you will like to do with the file or folder: Such as
Open, Share, copy link, Download, Delete, move to, or copy to, etc.

Content Pane
The Content Pane shows the files and folders in the currently selected
folder.
Blue Toolbar
The following is the list of options you will find on the Blue Toolbar:
1. App Launcher: This option display other services that you have
legal access to as a Microsoft Account holder.
2. Search box: The Search box allows you to perform a search over all
your files. The contents of each file will be searched according to the
keyword you typed in the search bar.
3. Diamond: This option gives you room to purchase additional storage
space when necessary.
4. Gear: Opens the OneDrive settings which give you room for
personal configuration.
5. Help: Opens the help documentation. This is where you get help
when you get stocked.
6. Microsoft Account Button: Provides access to your Microsoft
account. If your account does not have a profile picture assigned to it,
it will display the first letter of your first name.

How to Download OneDrive on your Computer


If you have Windows 10, OneDrive is already installed on your PC. If
you're using another version of Windows, install OneDrive to get started. To

https://microsoft.com/en-ww/microsoft-365/onedrive/download, then
press Enter key on your keyboard and automatically you will see the
downloadable file.

2. Then click on download, and your .exe file automatically downloads.


Setting Up your Microsoft OneDrive Account
To set up your account, you either sign in if you have an existing account or
create a new account. The processes involved to carry out these two

Signing Up for Microsoft OneDrive

1. Go to the Microsoft OneDrive website.

Note: You can clear all the default Documents, and Pictures if you so
wish.

Note: OneDrive offers the ability to back up your device files and folders.
Although it is recommended to use this option, you may not have enough
space to upload all your files if you are using the free version of the service.
You can skip this option until you sign up for a subscription plan, but, put in
mind that you can always go to the backup settings from the Backup tab in
the OneDrive settings.
10. Select the Skip button or Continue button.
11. Select the Not now button to continue.
12. Select the Next button and continue.
13. Select Click the Next button again.
14. Click the Next button one more time.

15. Then click the Later button.


16. And finally, click the Close button.
Note: After you complete the steps above, your OneDrive will be ready
to start uploading files.

Signing Out from OneDrive


To sign out from Microsoft OneDrive, do the following steps.
1. Right-click the Microsoft OneDrive icon from your device.
2. Click the three-dot button or More.
3. Then choose Settings to continue.
4. Select the Account tab in the pop-up window,
5. Then click Unlink this PC to continue.
6. Then finally click Unlink account. See the caption below.
Note: After the above processes, OneDrive will be unlinked from your
computer and it will not sync files to your OneDrive folder anymore. And
you have signed out of OneDrive.

How to Create a Document


1. Select New and choose the type of document you want to create.
2. To rename the file, click the file name from the title bar and then type
a name.
Note: All changes are automatically saved in the Office online apps, so
when you go back to OneDrive, your new file is already saved.
How to Upload Files in OneDrive
The OneDrive desktop application makes it easy to upload and
sync files across your devices. To do this follow the following steps.

1. Locate the file on your computer that you want to upload to


your OneDrive.
2. Click and drag the file to the OneDrive folder.
3. The file will appear on your OneDrive. Now you can access
this file from anywhere when signing in to your OneDrive
account as shown in the caption below.

Selecting a Single File


1. On the Toolbar select the Upload button.
2. Point to the file you want to select, see the file below in the
caption.

3. Then click on the white circle by the left to select the file.
Note: Clicking the file name opens the file and does not select it.

4. The white circle has turned blue and now contains a white
checkmark after clicking.

Selecting Multiple Files


1. To select additional files or multiple files do the same procedure.
2. Then each white circle you click will add another file to the
selection list.
3. Keep selecting until you reach your maximum selection, see the
caption below.
How to Search for Files Saved in OneDrive Cloud
You can find your documents through the Search Tools tab. You either type
the name of the file you are looking for or search by Date modified.

If you don't have access to the OneDrive desktop application, you can
upload files using the web uploader. Though the online process takes a
little more time than uploading files with the OneDrive application, it's still
the best way to upload files from anywhere.
How to Upload Files on the Web in OneDrive
To upload files to OneDrive on the Web:
1. Navigate to OneDrive. Locate and select the Upload button.

2. Locate and select the desired file. You can select multiple files by
holding down the Ctrl key, then clicking Open.

3. Your files will be uploaded to OneDrive.

How to Delete a OneDrive File


When you delete a file from OneDrive, the file is first sent to the
Recycle Bin just like deleting a file on your Windows computer. And if a
file is in the Recycle Bin it can always be recovered or restored, unlike
the Recycle Bin on your Windows computer. OneDrive automatically
erases a file from Recycle Bin once it has been in the Recycle Bin for 30
days. Once this happens, the file is gone permanently and cannot be
recovered. Follow the following steps to delete an image file.
1. Select the file or image you want to delete.
2. Then click on “Delete” in the Toolbar and your image will be
deleted.
How to Embed Folders/Files
Microsoft OneDrive allows users to edit files in a web browser
using Office Online and then embed them for use anywhere else
online. Microsoft Office files stored on OneDrive can be embedded
in several different online platforms including blogs. To embed
folders or files, follow the steps below.
1. In OneDrive, go to your Shared Files folder
2. Click on the name of the file you want to embed in Blackboard, this
will automatically launch Office Online, if it doesn’t, go to the next
step.
3. Click on the file.
4. Choose Open
5. Open PowerPoint Online from the top of the page.
6. choose File from the ribbon at the top of the page
7. Select Share.
8. Then select Embed.
9. An Embed window will appear, from the Dimensions settings
choose 962 x 565 to set that dimension.

10. Select Embed at the top of the page, and then choose Generate.
11. Copy and paste the code into the code of your website or blog and
close.
How to Save all Office Files to OneDrive
1. Go to One Drive and select File.

2. Select Save a Copy.


3. Then OneDrive.

4. If you don’t see OneDrive.


5. Select Add a Place.
6. Select OneDrive for Business and sign in to your Microsoft
Account.
7. To change the folder location, select More options. Find and select
the folder you want to save the file to.

8. Select Enter file name here and type a name for your file.
9. Select Save.

How to Create a Photo Album in OneDrive


1. On the OneDrive website, select Photos.

2. Select Albums.
3. Select a New album and type a name for the album.

4. Select photos you want to add to the album and then click Add
album.
How to Back Up Files with OneDrive
One of the easiest ways to back up PC files to OneDrive is by adding its
dedicated drive to your system. After downloading the OneDrive app on
your Windows device, you can simply drag and drop your files to the cloud.
It is as simple as it sounds to your ears. To perform a OneDrive backup, you
can drag and drop the files directly as you wish to move to your cloud by
simply creating a new folder within the OneDrive directory. Put the sync

Backup with OneDrive Website
If you don’t want to download the OneDrive desktop app or create its
directory on your system, you can always visit OneDrive's official website
and manually upload the files or folders you wish to back up. If you wish to
take a OneDrive backup with its website, then follow these simple steps.
1. Login to the website using your login details, linked to your
OneDrive.

2. Click on the Upload button on the toolbar. You can either upload an
entire folder or can upload the selected files. Simply choose your
preferred option. It will open a new browser that can be used to select
the files you wish to back up with OneDrive.
3. Select the Files you want to back up to OneDrive and open them.
Wait for a while as your content would be uploaded to the cloud.
After uploading the files, you can view them or access them from
OneDrive’s website. After following these steps, you would be able
to perform Windows backup to OneDrive.
Note: OneDrive is a backup tool, and for that single reason any file you
save or upload is automatically secured (Backup).
How to Turn Off Automatic Sync in OneDrive
You can turn off automatic sync in OneDrive using the following methods:
Quit OneDrive from Syncing
If you want to directly stop OneDrive from syncing, quitting it out is your
choice.

1. From the taskbar icon, click on “More” (…).


2. Click on Quit OneDrive. Then, OneDrive will be closed and all
running tasks will be stopped.
Sign out/Unlink This PC
Cutting off the connection between your computer and OneDrive is also a
way to stop OneDrive from syncing to your PC.
To do this follow the following steps:
1. Choose Settings in the above menu.
2. Select the Account tab.
3. Then click Unlink this PC.
4. Click ok. Then, you are done.
Disable Network Connection
Indirectly, to stop OneDrive from uploading or downloading, just cut off the
network connection of the device. Without the Network connection, no file
transfer task could be carried out.

Uninstall OneDrive
You can uninstall OneDrive to stop it from syncing. This action won’t
delete the data or files on your OneDrive cloud. When the current syncing
disappeared, you can always reinstall OneDrive back to your device and
your files will be intact.
CHAPTER 3
MANAGING YOUR ONEDRIVE FOLDERS
Folder management is defined as every activity or function carried out on
folders to modify or organize them which could be copying, deleting,
editing, renaming, uploading, sorting, and modifying folders to suit your
desire or want. This can be achieved by either right-clicking on the folder to
modify it or by clicking to open the folder to modify its contents.
You can also manage your folders in different ways.
1. Open the OneDrive folder.
2. Right-click the folder and choose one of the options in the diagram
below.
Note: After you complete the steps, depending on your selection, the files
will always be kept on the device or only with an internet connection to
save storage space. Then you have carried out folder management.

How to Sort Out your Files


1. Browse the files you want to sort.
2. Select a column header,
3. Then select the display order you prefer. (Either Ascending order or
Descending order or select A to Z or Z to A.)
You can also go by this:
In the top right navigation, select Sort to specify the order your files are
displayed, such as by Name, Modified, or Sharing.
Note: The top right navigation Sort option is only available if you are
signed in with a Microsoft account.

Searching for your Files


1. Navigate to the OneDrive.
2. Click on the Shared tab in the left side menu.
3. You can then use the search option above the left side menu to type
in the keyword of what you want to search for, then click to search.
4. You can also filter that search using the filter that appears on the
right side of the screen when using the search.
How to Share Files with OneDrive on Windows 10
1. Open the OneDrive folder.
2. Right-click the file and select the Share option.
3. You can also click the Anyone with the link can edit option.
4. Clear the Allow editing option if you want someone else to only view
the file.
Note: If you have a Microsoft 365 subscription or OneDrive plan, you can
also set the expiration date and password for the file you are sharing.
5. Click the Apply button.
6. Specify the email address if you'll be sending the link to another
person. Or click the Copy Link option to copy the link to the
clipboard.
7. Then click the Send button.
8. Click the Close button.
Note: After you complete the steps, the recipient will receive the link to
access the shared files. If you copied the link, you could paste the link on an
email or social media post to share the content.

Working with your Folders


Working with folders defines the various functions or operations that you
can carry out on folders in OneDrive, such as creating folders deleting
folders, sharing folders, renaming folders, uploading folders, and copying
and pasting folders in another folder, organizing folders, etc.
How to Create a New Folder
1. Click the New button, then select Folder from the drop-
down menu.
2. Enter a name for the new folder, then click Create.

3. When your folder is created. You can now click the folder to
open it.
Note: You can create new documents inside the folder by
following the same steps as above. Just click the Create button,
then select the type of document you want to create.
How to Move a File to a Folder
To move a file to a folder on OneDrive:
1. Select the files that you want to move, and then select Move to.

2. Under Choose a destination, select the location you want to move


your files to.
3. Select the location where you want the items to go, then select Move
here to start moving the items.
You can also use the steps below to achieve this:
1. Go to the file or folder that you want to move.
2. Select the copy file or folder you want to move.
3. You can also select multiple items to move them together, as a group.
4. select Move to in the top navigation.
5. In the Move to tab, go to the destination where you want to move
your file or folder to.
6. Then select Move.
7. If you want to create a new folder in which to store those files and
folders.
8. Then select the New folder and move the selected items inside.
Note: You can't move photos from Photo view because web-only view
aggregates photos from various folder locations in OneDrive. If you want to
move the photos you see there, you'll need to find the files in Files view (or
in File Explorer or Finder) and then move the files from their actual
locations. If you took the photos on a phone, try searching for the Camera
Roll folder and follow the same method.
How you Can Access OneDrive Website
To access the OneDrive website:
1. Go to your web browser and locate your search bar.
2. Type in https://onedrive.live.com/about/en-gb/signin/
3. Type in your e-mail address.
4. Then click on the Next button.
5. Then, you can choose to use your password instead or Send Code and
continue from there until you are fully given access.
How to Create Dissimilar Files Using Office
Online
Office Online especially OneDrive allows you to create several types of
documents, including Word documents, Excel workbooks,
PowerPoint presentations and OneNote notebooks, Excel surveys, etc.
To create a new Office document:
1. Click on the OneDrive Office tab then select Files
2. Click the New button,
3. Then select the desired document type from the drop-down menu.
Please choose Word for the sake of this guide.

4. Your document will be created and opened automatically after those


steps.
How to Open a File in a Desktop or Online Office
App
To open and edit a file in the Office desktop app while in OneDrive or
SharePoint:
1. Select the File in OneDrive.
2. Select the More icon.
3. Then select Open.
4. Then Open in-app and you are good to go.

How to Download a File or Folder to your


Computer
You can download files and folders from OneDrive Online to your
computer with just a few clicks. Here’s how:
1. On your OneDrive, select the files or folders you want to download.
2. Then click on the Download button.
3. If your browser gives you options like, Save or Save As you can
then choose any of the options, and browse to the location where
you want to save your documents. Though, Some browsers just start
saving immediately to the Downloads folder of your computer.
Note: If you select multiple files or folders and then select Download, your
browser will start downloading the .zip file extension containing all the files
and folders you selected.
How to Download a File or Folder to your Mobile
Device
To download files or folders from OneDrive into your mobile device.
Follow the following steps:
1. Go to OneDrive on your phone and log in.
2. Select the file or folder you want to download or save. Here you can
select multiple files or folders if you so wish.
3. Then select or tap the Save button at the bottom of your window, and
a pop-up window will appear. Then finally click on the Save button at
the upper right corner of your window and automatically your file
will download and save in your device Download folder.
How to Share a File or Folder with other People
1. Ensure that OneDrive is ready on your device.
2. Go to OneDrive.
3. Select the file/folder you want to share, and click Share.
4. In the Send Link window, the default sharing is People you can
specify can view. Click the (>) right-arrow to display more options.

5. In the Link Settings window, you can see options and choose
Specific people to select, because we will be sharing a file with
specific people. But you can also share your files with other options.
6. Then click on Apply button.
7. Type in the name or email address of the person you want to share the
file with.
8. Type any message, then click on Send.
Note: In the Other settings section, select if you want people to edit or
download the shared file and click Apply. Input every other information
field, then click on Send.
How to Embed a File to your Blog or Web Page
1. Go to the OneDrive app or use your browser to journey there.
2. Choose the file you want to embed by selecting the document
checkbox.
3. Select Your Embed Options, and then choose Generate.
4. Copy out and paste the code into your website or blog and you are
done.
CHAPTER FOUR
NAVIGATING DOCUMENTS WITH THE
OFFICE ONLINE
To navigate with office online, you need to, first of all, go to your web
browser and sign in to your OneDrive account. When you are fully done
signing into your OneDrive account, then you will now have the privilege
to navigate between documents using the online office menu. Navigating
documents simply means, carrying out a function on your documents to
organize and modify them. Below is a diagram showing OneDrive office
online window and folders containing some files, from documents to music
and pictures folder under Files.

How to Stop Sharing Files in OneDrive


To stop sharing a particular file stored in the cloud, follow the steps below:

1. Go to the OneDrive folder.


2. Then Right-click the shared file and select the Share option.
3. Click the three-dotted button in the top-right corner of your OneDrive
window.
4. Select the Manage access option.
5. Click the Close or Remove link (X) button.
6. Click the Edit button for the email account to which you want to stop
access.
7. Then click the Stop sharing option.
8. Repeat steps step six (6) and seven (7) to remove other users as
necessary and you are done.
How to Open a Document with Office Online
To open a Microsoft Word document using Microsoft OneDrive:
1. On your web browser go to onedrive.live.com and Sign in.
2. Then click on Upload.
3. Locate the document you want to open and click on it. Your file
should open automatically.
How to Disable OneDrive
1. Press Windows + R key together to open the Run dialog.
2. Type gpedit.msc in the box and click OK to continue.
3. Then Navigate to the OneDrive folder through the following path:
Click on the Computer Configuration.
Select the Administrative Templates.
Then Windows Components.
And finally, select OneDrive.
4. Then double click on Prevent the usage of OneDrive for file
storage.
5. Choose Enabled in the option that appears.
6. Click Apply and OK to confirm the changes.
Note: Restart your computer when you are done. After that, you can find
that the OneDrive is still on the File Explorer, but it has been disabled.
How to Uninstall OneDrive
1. Click the Start button.
2. Type Programs in the search box, and then select Add or remove
programs in the list.
3. Under Apps & features, select Microsoft OneDrive.
4. Then select Uninstall. If you're prompted for an administrator
password or confirmation, type the password or confirm to uninstall
it.

How to Unlink OneDrive


1. Select the OneDrive cloud icon in the taskbar or menu bar.
2. Select Help & Settings, and click on Settings.
3. Click Unlink this PC and then Unlink account from
the Account tab.

viewing organized files. This can also be done at the folder level within
OneDrive to enable access to a set of files or folders within OneDrive for
business. OneDrive for Business is the best cloud storage option you can
opt for if you are looking for the best options for saving your files or data
for your business and enterprise.
Benefits of Microsoft OneDrive for Business
The following are the benefits of OneDrive for Business:
1. OneDrive for Business offers 1 TB of cloud storage to each user.
2. You can store files up to 15 GB in size.

to the installation page of OneDrive for Business.
5. Choose language and start the installation.
6. Choose Save file in the pop-up and click Run on the next screen.
7. You will receive a notification when the installation is complete.
8. Click Finish to complete the process and you are done.
Setting up Microsoft OneDrive for Businesses
To set up Microsoft OneDrive for Business is simply to configure or signup
OneDrive for business uses. In doing this you will have to register under
OneDrive for Business option just like the normal OneDrive.
How to Get Started with OneDrive for Business
To get started with Microsoft OneDrive, you must note that there are three
ways you can gain access to the OneDrive files and folders of active users
when necessary through the following:
1. Via the Microsoft 365 Admin Center.
2. Via the SharePoint Online Admin Center.
3. Using PowerShell platform.
To get started with OneDrive for business these are the things you must
consider:
1. Review basic OneDrive information: Start by reviewing the
introductory OneDrive information available about OneDrive for
business. You'll get answers to many of your questions, including the
OneDrive experience and how it works.
2. Set up a Microsoft Office 365 subscription: You must set up a
subscription plan to use in OneDrive for business.
3. Add OneDrive licenses: Review your plan options to make the
comparison, and then add the licenses you need.
You can now plan, deploy, and configure the OneDrive sync app and
applications. To do that, closely follow these three steps below:
1. Plan for adoption: For small businesses adoption plan is very
important. Oftentimes, small business customers don't consider this
step for application, and that can negatively affect your success.
2. Install and configure: The next thing to consider is the installation
and configuration of OneDrive. OneDrive installation is compatible
across Windows, macOS, and mobile devices, and it’s important to

3. Manage OneDrive: For many small businesses, managing OneDrive

install and configure OneDrive and leave it there, but if you want to

OneDrive Features for Small Businesses


1. OneDrive Files On-Demand: OneDrive Files On-Demand allow
users to view, search for, and interact with files stored in OneDrive
from within File Explorer, without downloading the files to their
device. Files that have not been downloaded have a cloud icon for
their status. For those files that have been downloaded, the status
shows a green checkmark. See the screenshot below.
OneDrive Files On-Demand usually come by default, but if it is not, you
can enable it with the following steps:
1. Click the OneDrive.
2. Click the Help & Settings menu.
3. Select the Settings option.
4. Click the Settings tab.
5. Under the Files On-Demand section, check the Save space and
download files as you use them, option.
6. Then click the OK button.
Note: In the same way, if the feature is not for you, then clear the option to
disable it. Once you complete the steps, OneDrive Files On-Demand will be
activated on your device.
2. OneDrive Modern attachments: OneDrive integrates with
Microsoft Outlook to enable easy sharing of OneDrive files that
appear just like email attachments. This feature provides a good
sharing experience but centralizes the storage for attachments in
OneDrive. This allows your users to all collaborate on the same file
instead of sending different versions back and forth in email. You can
also configure sharing permissions on the files directly from within
the Outlook client. See the screenshot below.
3. OneDrive Files Restore: The OneDrive Files Restore feature allows
users to restore files that are once deleted over the past 30 days. To
select the desired recovery time, OneDrive presents you with a
histogram that shows file activity so that you can determine which
recovered time meets your needs. You can simply select the file
history entry to which you want to restore. See the screenshot below.
4. Recycle bin: OneDrive has a recycle bin just like the one on your
Windows desktop. Deleted files are moved to the recycle bin and kept
for some time before being permanently deleted. For work or school
accounts, deleted files are permanently deleted after 93 days unless
configured otherwise.

1. Create Folders Based on Projects or Tasks: You must learn to
structure folders and files in a way that will be consistent and
identifiable when you are searching for them. So that when you need
a particular folder or file you know where you can find them for easy

2. Create Sub-Folders for Each Task under the Main Task Folder:
Under each main folder, you can create a subset of folders related to

OneDrive for file organization and begin storing your files there, you
also get the benefit of sharing and collaborating from the cloud. It’s
as easy as using the Share tab in the upper right-hand corner of your

Note: Instead of having to constantly go back and forth in emails, all you
have to do is share the document, and allow editing permissions, afterward
you and your co-worker can do live editing together.

The Known Folder Move


With the Known Folder Move (KFM) feature, we give users the ability to
synchronize the data (files and folders) stored within the user's Desktop,
Documents, and Pictures folders, including the Screenshots and Camera
Roll folders.
Note: This feature is only available for Windows 10, Windows 8, Windows
8.1, and Windows 7.
HOW TO RESTORE FILES
1. Visit the website of OneDrive and sign in with your MS account. You
can also right-click on the OneDrive icon and choose to “view
online”.
2. Go to your navigation pane and click the Recycle bin.
3. Select the files you want to recover. Then go to the box beside the file
name and click it to select the files. Once you are done selecting all
the files that need recovery, then click the Restore button.
Note: You can also click Restore all items in the instance where you wish
to recover all the files in the Recycle bin. That’s all.
