INTRODUCTION TO MICROSOFT
ONEDRIVE
Microsoft OneDrive provides a cloud-based storage solution for your files
or records. It is an online file storage platform used by individuals and
business groups to save share and retrieve files from a cloud server.
OneDrive for Business allows you to store and access files that are peculiar
to your business. OneDrive is like your own online personal storage space
that stores all your private and business files which you are not ready to
share with others at the moment or that need some modification before you
can share them. It is a simplified cloud-based storage library that you are
the owner of and has full access to. OneDrive comes with two features:
OneDrive and OneDrive for Business.
OneDrive for Business enables users to securely share files and
information, and control the levels of security via express access or links for
editing or viewing organized files. This can also be done at the folder level
within OneDrive to enable access to a set of files or folders within
OneDrive for business. OneDrive for Business is the best cloud storage
option you can opt for if you are looking for the best options for saving
your files or data for your business and enterprise.
The Basics of Microsoft OneDrive
They are the basic information you need to know to get started with
OneDrive which aids a smooth operation or smooth use of Microsoft
OneDrive. The following are the basics of OneDrive that must be put into
consideration. They are the basic things every user of OneDrive must
acquaint themselves with to make the most of Microsoft OneDrive. They
are the fundamental features or functions available to OneDrive users that
you can see below.
Toolbar
The following are the basic tools that are available for use in the Microsoft
OneDrive environment.
1. New: New tab is used to create new files or folders.
2. Upload: This is used to add files or folders to your OneDrive storage.
3. Sort: This is used to change how you'd like to view your files which
could be A-Z or Z-A.
4. View: This is used to change the view. Changes the way the files are
shown in the content pane.
5. Details Pane: Opens the file details pane (this button is always
visible).
6. Information: This is used to see details like who has Access and
Activity or the properties of a particular file. Or, hover the cursor
over a file and information will appear.
7. Keywords and tags: They are used to search for files or folders.
Note: The button in the Toolbar will change at the mercy of what is selected
in the Content Pane. When you select a file or folder, a new menu will pop
up letting you select what you will like to do with the file or folder: Such as
Open, Share, copy link, Download, Delete, move to, or copy to, etc.
Content Pane
The Content Pane shows the files and folders in the currently selected
folder.
Blue Toolbar
The following is the list of options you will find on the Blue Toolbar:
1. App Launcher: This option display other services that you have
legal access to as a Microsoft Account holder.
2. Search box: The Search box allows you to perform a search over all
your files. The contents of each file will be searched according to the
keyword you typed in the search bar.
3. Diamond: This option gives you room to purchase additional storage
space when necessary.
4. Gear: Opens the OneDrive settings which give you room for
personal configuration.
5. Help: Opens the help documentation. This is where you get help
when you get stocked.
6. Microsoft Account Button: Provides access to your Microsoft
account. If your account does not have a profile picture assigned to it,
it will display the first letter of your first name.
Definition of OneDrive
OneDrive is defined as a cloud storage service that Microsoft offers to store
all your files securely in one place (cloud server), which you can access
almost anywhere. OneDrive is a platform for storing, sharing, and editing
files on the cloud that is the Internet. Because files are stored on the
Internet, they can be accessed from any computer with internet access, and
the files stored on them are not lost if your computer crashes or gets stolen.
Files can also be shared so that other people can view and edit them for
whichever purpose you shared them.
You can create a file on one device and continue where you left off on
another laptop, desktop computer, tablet, or phone without having to
transfer anything to an external drive or email it to yourself or a second
party, it doesn’t only creates extra steps but also duplicate several
unnecessary copies of your files. OneDrive also makes it easy to share
content with other people and work corporately with others on a real-time
basis using the Microsoft 365 integration.
The users with Windows 10 devices are even more privileged to get more
features than users with other versions of the operating system. When
setting up this service with a Microsoft account on your computer, you have
the opportunity to also sync and roam your system preferences and many
other features. Files On-Demand is also another promising feature on
OneDrive that allows you to access all your files without downloading them
to your device, saving you a lot of local storage space, especially your
device storage. And because the data is stored in the cloud, you can use it as
a data recovery tool if the computer breaks down or is stolen. OneDrive for
me is one of the many promising tools you need to secure your files or data.

5. Enter the password you want to use and ensure you keep it safe, so
you won’t be shut out from your account if you lose or misplaced it.
6. Then click the Next button.
7. Verify your account by entering the code sent to you via your email.
8. Then, continue to complete the process. Once you complete the steps,
you can connect the account to Windows 10 and start using OneDrive
on your device.
How to Sign In to Microsoft OneDrive
1. Go to onedrive.com, and select Sign in at the top of the page.
2. Enter your Microsoft account login details, that is the email address
you use to sign up, and select Next.
3. Type in your password.
Note: OneDrive offers the ability to back up your device files and folders.
Although it is recommended to use this option, you may not have enough
space to upload all your files if you are using the free version of the service.
You can skip this option until you sign up for a subscription plan, but, put in
mind that you can always go to the backup settings from the Backup tab in
the OneDrive settings.
10. Select the Skip button or Continue button.
11. Select the Not now button to continue.
12. Select the Next button and continue.
13. Select Click the Next button again.
14. Click the Next button one more time.
3. Then click on the white circle by the left to select the file.
Note: Clicking the file name opens the file and does not select it.
4. The white circle has turned blue and now contains a white
checkmark after clicking.
If you don't have access to the OneDrive desktop application, you can
upload files using the web uploader. Though the online process takes a
little more time than uploading files with the OneDrive application, it's still
the best way to upload files from anywhere.
How to Upload Files on the Web in OneDrive
To upload files to OneDrive on the Web:
1. Navigate to OneDrive. Locate and select the Upload button.
2. Locate and select the desired file. You can select multiple files by
holding down the Ctrl key, then clicking Open.
10. Select Embed at the top of the page, and then choose Generate.
11. Copy and paste the code into the code of your website or blog and
close.
How to Save all Office Files to OneDrive
1. Go to One Drive and select File.
8. Select Enter file name here and type a name for your file.
9. Select Save.
2. Select Albums.
3. Select a New album and type a name for the album.
4. Select photos you want to add to the album and then click Add
album.
How to Back Up Files with OneDrive
One of the easiest ways to back up PC files to OneDrive is by adding its
dedicated drive to your system. After downloading the OneDrive app on
your Windows device, you can simply drag and drop your files to the cloud.
It is as simple as it sounds to your ears. To perform a OneDrive backup, you
can drag and drop the files directly as you wish to move to your cloud by
simply creating a new folder within the OneDrive directory. Put the sync
option of OneDrive on, letting it store these files in the cloud instantly. See
the caption below.
Backup with OneDrive Website
If you don’t want to download the OneDrive desktop app or create its
directory on your system, you can always visit OneDrive's official website
and manually upload the files or folders you wish to back up. If you wish to
take a OneDrive backup with its website, then follow these simple steps.
1. Login to the website using your login details, linked to your
OneDrive.
2. Click on the Upload button on the toolbar. You can either upload an
entire folder or can upload the selected files. Simply choose your
preferred option. It will open a new browser that can be used to select
the files you wish to back up with OneDrive.
3. Select the Files you want to back up to OneDrive and open them.
Wait for a while as your content would be uploaded to the cloud.
After uploading the files, you can view them or access them from
OneDrive’s website. After following these steps, you would be able
to perform Windows backup to OneDrive.
Note: OneDrive is a backup tool, and for that single reason any file you
save or upload is automatically secured (Backup).
How to Turn Off Automatic Sync in OneDrive
You can turn off automatic sync in OneDrive using the following methods:
Quit OneDrive from Syncing
If you want to directly stop OneDrive from syncing, quitting it out is your
choice.
Uninstall OneDrive
You can uninstall OneDrive to stop it from syncing. This action won’t
delete the data or files on your OneDrive cloud. When the current syncing
disappeared, you can always reinstall OneDrive back to your device and
your files will be intact.
CHAPTER 3
MANAGING YOUR ONEDRIVE FOLDERS
Folder management is defined as every activity or function carried out on
folders to modify or organize them which could be copying, deleting,
editing, renaming, uploading, sorting, and modifying folders to suit your
desire or want. This can be achieved by either right-clicking on the folder to
modify it or by clicking to open the folder to modify its contents.
You can also manage your folders in different ways.
1. Open the OneDrive folder.
2. Right-click the folder and choose one of the options in the diagram
below.
Note: After you complete the steps, depending on your selection, the files
will always be kept on the device or only with an internet connection to
save storage space. Then you have carried out folder management.
3. When your folder is created. You can now click the folder to
open it.
Note: You can create new documents inside the folder by
following the same steps as above. Just click the Create button,
then select the type of document you want to create.
How to Move a File to a Folder
To move a file to a folder on OneDrive:
1. Select the files that you want to move, and then select Move to.
5. In the Link Settings window, you can see options and choose
Specific people to select, because we will be sharing a file with
specific people. But you can also share your files with other options.
6. Then click on Apply button.
7. Type in the name or email address of the person you want to share the
file with.
8. Type any message, then click on Send.
Note: In the Other settings section, select if you want people to edit or
download the shared file and click Apply. Input every other information
field, then click on Send.
How to Embed a File to your Blog or Web Page
1. Go to the OneDrive app or use your browser to journey there.
2. Choose the file you want to embed by selecting the document
checkbox.
3. Select Your Embed Options, and then choose Generate.
4. Copy out and paste the code into your website or blog and you are
done.
CHAPTER FOUR
NAVIGATING DOCUMENTS WITH THE
OFFICE ONLINE
To navigate with office online, you need to, first of all, go to your web
browser and sign in to your OneDrive account. When you are fully done
signing into your OneDrive account, then you will now have the privilege
to navigate between documents using the online office menu. Navigating
documents simply means, carrying out a function on your documents to
organize and modify them. Below is a diagram showing OneDrive office
online window and folders containing some files, from documents to music
and pictures folder under Files.
2. Create Sub-Folders for Each Task under the Main Task Folder:
Under each main folder, you can create a subset of folders related to
that main task. In the folder Webinars, we have subfolders for easy
identification. See the screenshot below.

Note: Instead of having to constantly go back and forth in emails, all you
have to do is share the document, and allow editing permissions, afterward
you and your co-worker can do live editing together.
