TOPIC : FORMAL AND INFORMAL INVITATIONS AND REPLIES

(I) INVITATIONS
Invitations are extended to near and dear
ones on the occasions such as marriages, birth celebrations,
etc. It is formally extended to general masses for public
events or functions.
Invitations are of two types:
(a) Formal Invitations, and (b) Informal Invitations

(A)FORMAL INVITATIONS : There are two types:


1. PRINTED TYPE (only written for school and public events)
2. LETTER TYPE ( written to individuals only)

1. PRINTED FORMAL INVITATION


POINTS TO REMEMBER:
In case of formal printed invitations, each of the following is
written in a separate line and in different font sizes and styles.

1. Write the name of the host ( for wedding )


Write the name of the host and name of the institution both for school
events
2. Formal expressions are used like,
(a) ‘request the pleasure of your benign presence’
(b) ‘seek your auspicious presence’
(c) ‘solicit your gracious presence on the auspicious
occasion’. No punctuation is required at the end of a line.
3. The date, time and venue of the event.
4. The purpose and occasion of invitation.
5. Third person and simple present tense are used.
6. Details like address, dress code or any other instruction
are written at the bottom to the left or the right side as
per choice or convenience.
7. Subject matter is written in the centre.
8. No abbreviation is used.
9. Name of the Chief Guest appears in the centre.
10. A formal invitation is put in a box always.

2. FORMAL INVITATION (LETTER TYPE)
POINTS TO REMEMBER
(i) This type of a question is rarely asked but only use this
format if the question specifically mentions writing an
invitation to a single individual.
(ii) DO NOT use this format for school events or public events.
(iii) This is written as a formal letter. Do not make a box.

EXAMPLE : You are the President of the English Literary and Cultural
Society of your school. You have to organize an Inter Zonal Declamation
Competition on the topic ‘Communication Skills are important in
Modern World’ for class 12 students. Write an invitation to Dr. Shrikant
Jain, an eminent educationist to preside over the function.

could grace the occasion and preside over the competition as the Chief
Guest.

(B) INFORMAL INVITATION


POINTS TO REMEMBER:
1. First person and second person are used.
2. The sender’s address is written.
3. The receiver’s address and subject are NOT written.
4. The date of writing of the invitation is given.
5. The salutation is ‘Dear ( write the name)’.
6. The complimentary close is ‘Yours sincerely’ only.
7. The style or tone is relaxed and personalized.
8. DO NOT put the informal invitation in a box.

EXAMPLE:
Write a letter in not more than 50 words to your friend inviting him on the
inauguration ceremony of your new house.

(Do not use punctuation in the sender’s address)

NOTE : Replies to formal and informal invitations always come as separate


questions.
(II) REPLIES TO INVITATION
Replying to invitations is an essential courtesy to the host who has
extended an invitation. It can be in the form of acceptance or refusal.
Replies are of two types:
(a) Formal Replies, and (b) Informal Replies.

(A) FORMAL REPLIES


A formal reply is usually brief and to the point, yet it is
pleasant and courteous in tone.
POINTS TO REMEMBER:
1. Acknowledge the invitation and the entire reply must be written in a
paragraph only.
2. Express thanks in third person only.
3. DO NOT mention your name or sign at the end.
4. When accepting, confirm date and time.
5. If declining, always give reason, and convey your best wishes.
6. Write address and date at top left hand corner.
7. Use simple and formal language.
8. Put the FORMAL REPLIES in a box always.

EXAMPLES: You are Dr. Shrikant Jain, an eminent educationist. You have
been invited to preside over the Inter Zonal Declamation Competition by
Nitin Sharma, the President of the English Literary and Cultural
Society of Modern Public School, Park Road, Pune. Write a letter of
acceptance of the invitation .
EXAMPLE : ACCEPTING THE INVITATION (FORMAL REPLY)

enough if he is provided the official transport for the occasion.

(B) INFORMAL REPLIES


POINTS TO REMEMBER:
1. Acknowledge the invitation and only write in a letter format.
2. Use the first person only.
3. Use the ordinary letter format only.
4. When accepting, confirm date and time.
5. If declining, always give a reason, and convey your best wishes.
6. Use informal words and expressions and close with ‘yours sincerely’ only.
7. DO NOT PUT THE INFORMAL REPLIES IN A BOX

EXAMPLES: You are Santosh. You have been invited to the inauguration
ceremony of your friend’s new house. Write a reply
accepting the invitation you got.
