This checklist contains very important information about the completion of your admission and registration.

 Accept your offer
Do you wish to accept a place in the programme to which you have been conditionally or provisionally
admitted? Please return the Confirmation of Participation form by email before the start of your
programme. You will find this form in the same document as your decision letter. Please note that
there are no further consequences for your admission should you wish to withdraw your application at
a later stage.

 Meet your conditions


The conditions with regard to your admission are outlined in your decision letter which you have
received from your Admissions Officer by email. Please make sure to fulfil the conditions of your
admission before the deadline mentioned in your decision letter. It is not possible to start your degree
programme without first having provided proof of having met the conditions of admission.
Non-EU/EEA candidates: please carefully read the information under Complete your registration –
Arrange your visa/residence permit application with the ISD.

 Provide certified documents


Your decision letter states which certified documents the Admissions Office will need to receive. Dutch
law requires that your paper file contains certified copies of the qualifications on the basis of which
you have been admitted. Without these documents, the Admissions Office is not allowed to make a
decree (official legal admission statement) for you. Without your decree, your admission cannot be
finalised. This means that your registration cannot be completed and you will therefore not be able
to start your studies at the University of Groningen.

 Definition of certified copies


A certified copy is a photocopy of your original document. This photocopy will need to bear an
original stamp, signature and date placed by an authorised institution/individual (e.g. notary or
school official) on each page. By certifying a copy like this, the authorised institution/individual
declares that the information on the document is correct and/or corresponds to the information on
the original document.

Because the stamp, date and signature have to be original, the certified copy can only be sent by
regular or registered post. A digital document can by definition not bear an original stamp, date and
signature – as it will be a scan of the aforementioned items – and is thus not sufficient. Please
contact us if you have doubts about the certification of your documents before sending them to us.

Please send the required documents to the address mentioned on your address label. You will find the
address label on the last page of your decision letter. The documents should be with us before the
start of the programme.

Not yet received their official degree certificate


If you cannot obtain the required certified diploma documents before the deadline as mentioned in
your decision letter – due to the fact that your official diploma documents are issued later – please
provide us with a certified graduation statement + final transcripts sent by regular or registered post.

Your graduation statement must include the following details:

o Your full name and date of birth;


o The official name of the qualification you have obtained;
o The final grades for all the courses that your bachelor curriculum entailed;
o The date of graduation;
o Original stamp and signature of the institute;
o The name and signature of the authorised person issuing the statement.

Please note that your admission will remain provisional until we have received a certified copy of
your final diploma documents. Please be informed that your enrolment will be completed on the
basis of your graduation statement.

Extra information for non-EU/EEA nationals:

Please note that in order for the Immigration Service Desk (ISD) of the University of Groningen
to apply for a visa for you you will need to be provisionally or unconditionally admitted. This
means you will need to have met all conditions before the visa deadline of 1 June 2021. This
includes proving you have met the English language requirement. If your admission letter stated
you are conditionally admitted then you will need to inform your Admissions Officer, by email,
as soon as you have graduated so that they can change your status from conditionally admitted
to (provisionally) admitted.

The difference between provisionally admitted and plain admitted is the official proof of
graduation. Your Admissions Officer can change your status to provisionally admitted once they
have received proof that you have graduated. This can be done by emailing your actual diploma
together with your official final transcripts OR a scanned version of your official statement of
(expected) graduation. In order to be fully admitted we will also need to receive certified hard
copies of your graduation documents. These must be sent by regular or registered post and
must have been received by the Admissions Office before 1 September 2021. This means you
will need to have graduated before 1 September 2021.

The Immigration Service Desk can inform you about the consequences of applying for a visa in
the event that you do not graduate before the given deadline.

Practical information
 Accommodation
Like most Dutch universities, the University of Groningen does not have a campus. Therefore,
arranging accommodation is the candidate’s own responsibility.

One of the organisations international students are referred to is the SSH (Stichting Studenten
Huisvesting: Organization for Student Accommodation). More information on SSH and how to register
for SSH housing can be found on the SSH website.

When filling in the registration form, please select the following options to ensure your housing
application gets directed to our Admissions Office for approval when reserving accommodation:

1. City - Groningen
2. (Educational) Institution – University of Groningen (RUG)
3. Department/Faculty – RUG Admissions Office Bachelor/Master (= 1st option in the dropdown menu)
4. Type of resident – RUG Bachelor/Master
If you have any questions with regards to accommodation offered by the SSH please contact them at

It is possible to reserve accommodation via SSH once you are (conditionally) admitted to the (pre-)
master programme you have applied for. However, please note that reserving housing for the set
10/12 month rental period whilst still having to fulfil your conditions of admission is the candidate’s
own responsibility. Registering at the SSH for the September 2021 start will be possible from around
6 May 2021 onwards.

Other housing options


If you would like advice on alternative options for finding accommodation or when SSH is fully booked,
please visit the following website. You can also email [email protected] for urgent housing inquiries. This
address will become available as of the end of June 2021.

 IT facilities and University (student) card


After you applied in Studielink you received your student number by email. With this student number
you can activate your student account by following the steps on the DIY website. Please note that you
will be given preliminary access. Your account will be blocked should your enrolment with the
university not be finalised. Should you experience any problems then please contact SIA via their
webform.

Once you have uploaded a photo you can pick up your university (student) card at the SIA desk
approximately two weeks after your enrolment at the university has been finalised. You will receive an
e-mail message informing you that your card is ready to be picked up.
 Registering for courses
You will find the courses of your programme in our online course database Ocasys. Once you have
found your courses you will be able to register for them via ProgressWWW.
