The Food Ordering System mentioned in this document was created to fill a

specific gap in the market by allowing small restaurants to provide an ordering alternative

to their customers without having to spend a significant amount of time and money in

custom software development. The framework, which is highly customizable, enables

restaurant employees to easily manage the site's content, particularly the menu, using a

simple graphical interface.

The restaurant's website, which is the only part visible to customers, is then

dynamically designed based on the current state of the system, allowing any adjustments

to be reflected in real time. After registering on the web, visitors can quickly browse the

menu and add food to their order, with only a few clicks, significantly simplifying the

ordering process. Orders are immediately collected and delivered in an easily readable

format so that they can be processed quickly in the restaurant. The aim of this document

is to provide detailed explanations of the system's architecture and implementation, as

well as descriptions of all available features and future plans.

PROJECT OVERVIEW
Background of the Study

The advancement in information and communication technology (ICT) has

greatly influenced the business transactions. The adoption of wireless technology &

emergence of mobile devices has led to automation in the hospitality industry. Business

in hospitality industry such as restaurants can be improved with the combination of

wireless and mobile technologies. The competition in restaurant business have increased

with the advancements in food ordering techniques. The earlier food ordering system was

entirely a manual process which involved waiters, pen and paper (Leong Wai Hong

2016).

The waiter had to note down orders from customers, take these orders to kitchen,

update them in records and again make bill. Even though this system is simple it may

involve human errors in noting down the orders. To overcome these limitations in manual

system some systems were developed later like multi-touchable restaurant management

systems to automate food ordering process.

Restaurants are one of the favorite premises. With no regard to the actual reasons

for visiting restaurants, customer will make orders and wait for the ordered meals.

However, it is common if customers complain for not feeling satisfied about the services

offered. There are many reasons leading to the feeling of dissatisfaction including being

entertained late in terms of order taking by the waiter and meals serving. The issue of

being late entertained could be solved with help of the advancement in the technologies

of communication. In accordance, this study initiates an integrated and networked

system, with the focus is on its ability to solve the above described limitations in order

taking.

The traditional system that using by most of the food and beverage industry is the

traditional manual ordering system which means all works and procedures is recorded

through manpower manual work and it consist of a huge amount of paper work that is not

effective and efficiency. This cause the business to encounter trouble which regarding

human error due to the huge amount of manpower manual work that operating in each

business routine. Thus, this computerized and mobilized food ordering system is

designed to assist the business routine in term of having better management as well as

easier to handle daily business operation.

Statement of the Problem

The manual procedure food ordering is time consuming and complicated due to

the budget is required confirmation by treasurer after the validation of assistant registrar.

Furthermore, lecturers or staff faculty are wasting time in directly facing cafeteria owner

for banquet reservation or ordering. The risk of human error or mistake is getting serious

has become an inconsistent way for them to communicate in ordering and information

update.

Because of this system, it will minimize all the manual work by replacing the

traditional order system into a computer system. It will eliminate the manual work such

as workers physically deliver food order ticket into the kitchen, manually replace the

price tag of the food and manually calculate billing price. Specifically, the study sought to

answer the following problems.

1. What are the problems encountered by the customers and restaurant staff in

ordering?

2. Identify the features of Food Hub (Food Ordering System).

Objectives of The Study

Identify the problems encountered by the customers and restaurant staff in ordering.

Identify the features of Food Hub (Food Ordering System).

The purpose of this project is to develop a computerized food ordering system

that can be used to revolutionize the traditional ordering system that currently

implemented in majority of the food and beverage industry, and to provide convenience

for both employees and customers. This system allows the staff to serve customers with

the minimal delay compare to the paper-based order system, because what the staff need

to do is just record down the food that the customer wish to order then the staff place an

order via the computer. Whenever the consumers placed an order, the food order details

information will be store to the database for further analyzing to perform forecasting. The

employees can check previous food order details to solve any misleading and

misunderstand incident while it occurs. For example, staff can manage to inform the

consumer estimated times that require to prepare the food during business hour especially

peak hour and hence it can help reduce conflict occur. Therefore, it is very important to

keep all the necessary business data for further review in case when it is needed.

Scope and Delimitation (PAST TENSE)

This project (food order system) can be used in the small medium enterprises,

food & beverages (F&B) industries and some small restaurants, which can help to

simplified their entire daily operational task as well as improve the dining experience of

customers. The system will be able to let staff or the admin to update and make changes

to their food and beverage menu information. Next, it also allows staffs to generate report

that they wish to generate such as monthly sales report.

The system is not compatible with customer’s mobile devices as the local web

application was developed using a webserver. The system was not intended to install on

any computer or in a mobile device. Meanwhile, the restaurant has prepared some

computer devices which are used to resolve the issue that mention above.

Significance of the Study (Pinaka magbe-benifit)

This study will benefit the following individuals:

Restaurant. This will help the restaurant to properly manage the sales, products and it

will make the ordering process in short period of time.

Restaurant Manager. This individual might also be the admin of the system. He/ She

can decide what food product should be improved, For the customer’s satisfaction.

Staff. They can make their jobs faster compare to the traditional ordering system which

they use pen and paper to get the customer’s order.

Auditor. They can audit the sales faster because of this system.

Customers. The system will help this individual specially in making their orders. It could

be beneficial for them because they don’t have to wait in a long period of time if the

restaurant has only limited staff.

Future Researchers. This will help the future developers, and students. To have their

guide, and make some improvements in the system.

Definition of Terms ( Yung nasa System)

Database. The system will use a database to store the data that the user will input

specially the username, password, and the product information.

Information and Communications Technology (ICT). It is an extensional term for

information technology (IT) that stresses the role of unified communications and the

integration of telecommunications (telephone lines and wireless signals) and computers,

as well as necessary enterprise software, middleware, storage and audiovisual, that

enable users to access, store, transmit, and manipulate information.

Order. Request (something) to be made, supplied, or served.

Paper-based. This was the traditional ordering system. Orders will be manually written

on a paper by the waiter or the staff.

System. A system is a group of interacting or interrelated entities that form a unified

whole. A system, surrounded and influenced by its environment, is described by its

boundaries, structure and purpose and expressed in its functioning. This was the web

application that the user will use.

This review consists of books, articles, documents that focus on the same subject

matter or other concepts of the study.

Related Literature

This chapter discusses the different approaches for automating the ordering

processes of restaurant. After that, it explains the web application development tools and

technologies used in this project. This will also examine the previous literature in detail

and will see how and what sort of research work has already been done on food ordering

system.

A computerized restaurant system is “an integrated IT system that supervises,

manages and facilitates the planning operations in restaurant” (Tan, 2016). Before the

automated system has been introduced, the orders and payments were managed manually

using register books etc. The Point-of-Sales (POS) was introduced in the era of 1990.

After the system got popularity, it started being used in restaurant industry. After 1990,

the internet and wireless technology moved on so much fast. Restaurants also started

using different technology-based system to increase the efficiency of the system

(Sullivan, 2017). Researchers also started introducing different types of solutions for

restaurants. Lots of work have been done for automating the operations of the restaurants.

Every researcher chose an aspect or problem and tried to make good solution for that.

The solutions provided by researchers can be categorized in different categories. The

following sections will discuss about those systems.

Based on the research that has been done by L Warlina and S M Noersidik, the

effectiveness of web-based food ordering system to solve the queue problem of ordering

food is still in doubt, but the enthusiasm for customers and employees to the existence of

web-based food ordering system is vast. In the hope of a web-based food ordering system

can help customers to place orders and assist employees to manage food orders. Web-

based ordering application is handy for customers ordering food without having to queue

up. Food ordering system can help customers to place orders and assist employees to

manage food orders. (L Warlina and S M Noersidik 2018)

Electronic Menu Card for Restaurants. This order system overcome the drawback

of traditional paper-based order system; it changes everything from paper based into

computerized. First of all, the system will be programmed with the food availability from

the respective restaurant and display on touchscreen devices that have been setup in each

of the tables within the restaurant. In addition, the touchscreen device will have a very

attractive Graphic User Interface (GUI) that displays the food menu for customer to make

their choices and enable customer to place an order by touching the particular food image

that display on the device screen. Next, when the customer placed an order, the food

order will be sent to the kitchen and the chef can prepare for the food. This system

eliminates the issue from traditional paper-based system that the waiter has to manually

deliver the order to kitchen. Other than that, the system provides a sub-module that

enable restaurant owner to update the food details, food price and etc. It was very

convenience compare to the traditional paper-based system, because paper-based system

requires the restaurant owner to dispose all old food menu cards and re-print the latest

food menu card to serve their customers. The system was fully relying on the gadgets and

the gadgets doesn’t need leave or vacation and thus it can work efficiently 24 hours per

day and 7 days per week. Therefore, it can reduce the excess manpower need in the

restaurant business by reducing the number of the employee within the restaurant.

Related Studies

Mayurkumarpatel had proposed the online food order system that is fulfilling the

basic need to order food in restaurant. His aim is to make the ordering easy for both

customers and waiters. To overcome the device and operating system centric approach for

automating restaurant operation, K et al. (2016) proposed an online web application

which can be accessed through internet. For using this application, computer screen will

be placed on each table of restaurant for customers to order. Customers can order food for

take away and make payment through the application. However, the idea is innovative,

but a little bit weird as computers need to be installed in every table. Sometimes it may

create complex problem rather than making a solution. Patel (2015) developed an online

food ordering system with Java in backend system and HTML with CSS in frontend. It

was a robust and nice application. But the responsive development method was not used

in the application.

The advancement and innovation of technology help people to manage their task

easily and efficiently. In many other industry areas have been used management system

to assist their business grow long time ago, therefore it is also a trend that cause F&B

industry to make use of a management system for their business. The system can reduce

and replace the human manpower task, reduce the time consume for each transaction and

generate report for further management purpose by fully utilizing the system. (Leong Wai

Hong 2016)

Chapter 3
METHODOLOGY (Identify methodology, tapos kung saan kinuha)
This chapter aims to provide a clear vision on methods and methodologies used

for this project. First, it describes the methodology and methods selected for the research

and gives rational why these methods and methodology have been used. Then it discusses

about software development methodology and give rational for it.

Software Development Methodology

Research methodology is a process used to collect information and data for the

purpose of making decisions. There are different models for research. Among them,

waterfall model is chosen as it is easy to understand and implement. Many beginners use

this methodology for research (Dawson, 2009).

For this project, Water fall model was the methodology used. According to

tutorialspoint.com, Water fall model is also referred to as a linear-sequential life cycle

model. It is very simple to understand and use. In a waterfall model, each phase must be

completed before the next phase can begin and there is no overlapping in the phases.

The waterfall model illustrates the software development process in a linear

sequential flow. This means that any phase in the development process begins only if the

previous phase is complete. Waterfall approach was first SDLC (Software Development

Life Cycle) Model to be used widely in Software Engineering to ensure success of the

project. In "The Waterfall" approach, the whole process of software development is

divided into separate phases.

The following are the phases in the waterfall model that was used in this system:

Requirement Analysis. At this stage, the developers start of thinking or defining the

problem. Why was the system should be made? Defining also the SRS (Software

Requirement Specification) is one of the important things to be considered.

Planning. The developers, plan the system making, by considering the minimum system

requirement, the design, hardware to be use and the programming languages. The

architecture was also planned at this stage. The languages tools/ application use are as

follows:

PHP. PHP is a server-side scripting language, which means the client only

receives the output since the processing happens in the server. The processing is

done by using the resources of the server before sending the output.

HTML and CSS. HTML stands for Hypertext Markup Language. It ensures the

proper formatting of text and images for your Internet browser. Without HTML, a

browser would not know how to display text as elements or load images or other

elements. HTML also provides a basic structure of the page, upon which

Cascading Style Sheets (CSS) are overlaid to change its appearance. CSS is used

to define styles for your web pages, including the design, layout and variations in

display for different devices and screen sizes.

MySQL. A relational database organizes data into one or more data tables in

which data types may be related to each other; these relations help structure the

data. SQL is a language programmer use to create, modify and extract data from

the relational database, as well as control user access to the database. The system

will use this language to store the product, the user’s information, the admin,

passwords and some other sort of information.

XAMP. It is a free and open-source cross-platform web server solution stack

package developed by Apache Friends, consisting mainly of the Apache HTTP

Server, MariaDB database, and interpreters for scripts written in the PHP and Perl

programming languages. Since most actual web server deployments use the same

components as XAMPP, it makes transitioning from a local test server to a live

server possible. Upon developing the system, XAMP was used to test and run the

program. It has the also most important role because the database was stored here.

Sublime Text Editor. Sublime Text editor is a sophisticated text editor which is

widely used among developers. It includes wide features such as Syntax

Highlight, Auto Indentation, File Type Recognition, Sidebar, Macros, Plug-in and

Packages that make it easy for working with code base. The system will not be

made without this text editor.

Modeling. The requirements and the design specified, was analyzed and transform to

logical models that will be implemented in programming languages.

Coding. At this stage, developing small programs to be combine are done. This small

program will form the whole system to be functional.

Testing. At this stage, the developed system was tested and made some improvements

and fix some errors that preventing the system to work properly. The developers make

sure that the whole system will work properly before deployment.

Deployment. After the testing, the system is now available to deployment and ready to be

used by the restaurant.

DISCUSSION OF FINDINGS

Explain ung problem

This chapter will answer the problem that was stated in chapter 1. The manual

procedure food ordering is time consuming and complicated due to the budget is required

confirmation by treasurer after the validation of assistant registrar. The risk of human

error or mistake is getting serious and become an inconsistent way for them to

communicate in ordering and information update. The developed system has a feature

that can solve the issue of food order ticket tracking difficulties and help the project

achieve its goal of preventing food from being served out of order. Staffs will use the

system to position order tickets, and the system will automatically queue the food order

details according to first come, first served. Kitchen staff were able to observe the food

line in order to serve customers in a timely manner. This feature allows employees and

customers to see the most up-to-date food menu details by using the system, which helps

restaurants avoid duplicated physical menu cards that contain false information.

System Requirements

The following are the minimum system requirements to successfully access the

local website:

A computer with minimum of 1 GB ram and a 5 GB Hard Disk Drive (HDD).

An Intel Pentium 4 processor

XAMP application

A browser (such as Google Chrome or Mozilla Firefox)

This project consists of 2 main modules as follows:

1) User’s Local Website (module 1)

This type of link was especially made for the normal users or the customers

coming in the restaurant. First customer has to be done registration after registration

he/she will get password and user name. This webpage will consist of the whole menu of

the restaurant. The items in the menu are non -editable for customers.

2) Admin’s Local Website (module 2)

These desktops are especially for the use of the restaurant manager or the admin.

The manager/admin should be able to control the function of whole restaurant webpage.

He can access any webpage from the ordering system and should be able to make

changes to the menu. Also, he can change price of particular item or disable particular

product. Because of the threat of hackers, the website will only work on local web server

using the XAMP application, no internet needed. This local server will also guaranty the

security of the user’s privacy in terms with their personal information such as passwords

and contact information. No information will leak in each of the customers.

Functional Requirements

Order Management

The system will let the user or the customer to select the food that they want to

order, before they can place an order, the system will prompt the user to login to their

account or sign-up if they don’t have an account yet. The system will prompt and ask

user to verify the order that have been placed.

Reporting Management

The system can generate a report that based on the time period that the customer

ordered. This will only available to the admin.

Order Queue

The system can update the queue display whenever a new order is placed. First

order first serve will be implemented to this system.

Non-Functional Requirements

Operational Requirements

The system can operate on both Windows or Linux Operating System platform

environment. The important thing is the computer should comply to the minimum system

requirement in order for the system to work.

Security Requirements

The system will validate the username and password in order to login (both admin

and customer). The system should request the current password of the user in order to let

them change to a new password.

System Design

Database

The first component of the system must provide some form of menu management,

allowing the restaurant to control what can be ordered by customers. The second

component is the ordering system and provides the functionality for customers to place

their order and supply all necessary details. The final component is the order retrieval

system. Used by the restaurant to keep track of all orders which have been placed, this

component takes care of displaying order information, as well as updating orders which

have already been processed.

The web ordering system is comprised of 6 major components. These are the

login form, the main menu, the account management form, the order form, the shopping

cart, and the checkout form. When the customer first arrives at the site, they are presented

with the restaurant menu. After either signing in or, if they do not yet have an account,

first registering and then signing in, the user is taken to a welcome page with the main

menu. From here, they have two options – they can either change their password and

other preferences through the account management form, or they can select an order form

and begin adding items to their order. If they choose the second path, they can navigate

the numerous order forms using the main menu, each of which corresponds to a specific

category of order items, adding items to their shopping cart along the way. At any time,

they can view and modify their shopping cart and when they are finally ready to place

their order, they can proceed to the checkout form. The checkout form uses the contents

of the shopping cart to present a summary of the order and to calculate the total cost, in

addition to allowing the user to specify all of the necessary delivery details.

Ordering System Components (Customer’s Site)

There are six main components to the ordering scheme. The login form, the main

menu, account management, order form, shopping cart, and checkout form are all

examples. The food menu is introduced to the customer when they first arrive at the home

page. The user is taken to a welcome page with the main menu after signing in or, if they

do not yet have an account, first registering and then signing in. They have two choices

from here: they can use the account management form to update their password and other

preferences, or they can use an order form and start adding products to their cart. They

can view and modify their shopping cart at any time, and then proceed to the checkout

form when they are ready to place their order. The checkout form displays a rundown of

the order and calculates the overall cost using the contents of the shopping cart. Any

order that was already been submitted by the customer, will not be cancelled.

The Login Form. It provides text fields for username and password, which the user must

enter before signing in. This form also gives the option for a user to register for the site if

they have not yet done so.

The Main Menu. This will display all the food products that the restaurant is selling.

The Order Form. Once the customer has already been done choosing the food they want

to order, they have to click “Order Now” and will be automatically added to the cart.

The Shopping Cart. After an item is added to the order, it is displayed, along with its

price, in the shopping cart. The shopping cart also keeps a running total of the current

price of the whole order. The customer can also delete any product from his or her cart.

Finally, the shopping cart contains a button for the user to proceed and checkout.

The Order Details. Once the user clicks the “Proceed and Checkout” button, it will

display the order details. And “Submit” will appear below. Once the user clicks the

Submit button, it can’t be canceled.

System Component for The Admin’s Site

The admin has the big role in this system, because the admin has the full control

in the product and sales of the restaurant.

The Login Form. In order for the admin to access the restaurant’s products and

sales, He/ She should also login using his or her username and password.

Products. After logging in, the list of products will display and all information

about the products will be displayed, such as price, quantity of the product and many

more. Here, the admin can also add, delete or modify any products.

Orders. In this tab, the list of ordered products will appear here. The admin can

confirm or cancel the product.

Categories. At this page, List of food categories will display here. Admin can add

or delete any categories.

Settings. Admin can set a discount to any products.

SUMMARY, CONCLUSIONS AND RECOMMENDATIONS

Summary of Findings
The objective of this study was achieved because, when workers or customers

enter an order into the system, the system schedules the food order specifics in a queue,

and the chef prepares the food in accordance with the food order queue. The system

includes a feature that addresses the issue of difficulty in monitoring food order tickets

and achieves the project goal of preventing food from being served out of order. It also

removes all of the manual procedures that go into delivering a food order ticket the old

way. The established system enables the manager to update all food information as

required. It also assists restaurants in resolving issues such as updating menu card details,

supplying sufficient updated food information, and the potential for increased operating

costs due to the system's implementation. All of the updated information that is edited by

the manager is automatically refreshed.

Conclusions

People can perform their tasks more effectively and efficiently thanks to

technological advancements and creativity. Many other industries have used management

systems to help their businesses develop for a long time, so it is a trend that will continue.

The food and beverage industry should implement a management structure. At the end of

the project, the system will be able to minimize and substitute human manpower tasks,

reduce transaction time, and produce reports for further management purposes and

putting the device to its maximum potential. The proposed system will assist in

increasing restaurant efficiency, which has a direct effect on the restaurant's profitability.

Furthermore, since the device reduces staffing costs, it will assist restaurants in lowering

their operating costs.

Recommendations

For the future developers, they can make this system to make available online and

make or add other features that will help the restaurant to be more flexible. They can also

add a delivery option so that the food can be delivered anywhere. The developers might

add a mobile platform for this system, so that customers can make an order whenever

they are as long as the location is supported by the restaurant. Restaurant owners can

suggest what they want to add in the system. They can also reduce the number of their

employees, because of this system. Payment method such as card and online payment

(GCash, PayPal, Pay Maya, Dragon Pay, Smart Money, etc.) is also suggested. The

developers might also develop a hardware that will read the costumer’s payment card if

they order using the COD (Cash on Delivery) payment method in case the costumer don’t
