    1. TEAM – Gather people that can follow a plan and execute at a high level, while
    staying calm and flexible under pressure.

    GPS / Navigator = Event Producer / Planner


    DJ / Radio tuner = DJ
    Passengers = Audience

    2. TECHNOLOGY – Find the right virtual events streaming service, camera,


    computers, lighting, and studio to stream a great event.

    The Car = Cameras, lighting, virtual event streaming service, and studio.
    The machine that will get you to your destination.

    3. TALENT – Being on camera and in front of people can be intimidating. Make


    sure you have the right person to host the event, as well as the right speakers to
    deliver the message and energy you want to reach your audience.

    The Driver = The host/emcee is the driver who will get you there and make the
    road trip (virtual event) fun and engaging.

    4. TIMING – Your event is competing with people’s work, kids, hobbies, and
    favorite streaming TV shows (like Tiger King). Make sure your timing allows for
    your ideal audience to pause their day and engage with your event.

    Every road trip has a schedule. Some are more detailed than others, but you usually
    at least have a departure time and an arrival time.

    5. TOPIC – What will be communicated is just as important as how. Make sure


    that you’re communicating a message clearly that has purpose, impact and vision
    for your audience to rally behind.

    Meals = The keynote speech, breakout sessions, and guest appearances.


    Snacks = Information and comments people need to know like instructions, social
    media handles, etc. Just enough to keep them going.
    Scenic Overlook = Something that is worth posting about on social media.

    1. PICK THE PURPOSE – Your audience will be asking themselves the
    questions: “Why should I sign up?” and “What’s in it for me?”

    Determining the “why” behind your event is crucial for them, for you, and for your
    team that will help pull it off. A road trip starts with a destination in mind. Where do
    you want to take your audience? Why would they get in the car with you?

    2. CREATE AN OUTLINE – What route will you take to reach your destination?
    You don’t have to know every little detail yet, like where to get gas or use the
    restroom. An outline serves as a guide to give your event structure, just like pulling
    up directions in a GPS. Focus on big details like date, time, and roles of the team.
    Set the budget, block off big chunks of time, and talk about the technology needs.

    3. REFINE THE PLAN – Narrow down all the details.


    Assign tasks and responsibilities for your event, and gather more information and
    the specifics. Think through pricing, narrow down timing minute by minute, and get
    hyper-focused to gather important details.

    4. PREPARE WHAT YOU NEED – The destination (your event day) is


    approaching. It’s time to put the final preparations in place.

    Go through checklists, gather what you need, make final arrangements, and double
    check that people know what they need to know, where they need to be, and do
    what they need to do. Then have a trial run for your event. Test everything the way
    it will happen the day of the event.

    5. PRODUCE THE EVENT – The destination is approaching. You can see it in


    your sights.

    As anticipation and excitement build, the lights will turn on, the cameras will roll,
    music will play, and people will log in. Give yourself margin, stop to enjoy what is
    happening, be flexible, and trust your process, preparation, and talent.
