4. TIMING – Your event is competing with people’s work, kids, hobbies, and
favorite streaming TV shows (like Tiger King). Make sure your timing allows for
your ideal audience to pause their day and engage with your event.
Every road trip has a schedule. Some are more detailed than others, but you usually
at least have a departure time and an arrival time.
Determining the “why” behind your event is crucial for them, for you, and for your
team that will help pull it off. A road trip starts with a destination in mind. Where do
you want to take your audience? Why would they get in the car with you?
2. CREATE AN OUTLINE – What route will you take to reach your destination?
You don’t have to know every little detail yet, like where to get gas or use the
restroom. An outline serves as a guide to give your event structure, just like pulling
up directions in a GPS. Focus on big details like date, time, and roles of the team.
Set the budget, block off big chunks of time, and talk about the technology needs.
Go through checklists, gather what you need, make final arrangements, and double
check that people know what they need to know, where they need to be, and do
what they need to do. Then have a trial run for your event. Test everything the way
it will happen the day of the event.
As anticipation and excitement build, the lights will turn on, the cameras will roll,
music will play, and people will log in. Give yourself margin, stop to enjoy what is
happening, be flexible, and trust your process, preparation, and talent.
