Study Guide 12
On-site Activities

Introduction
This lesson identifies the activities done at the event venue, such as the
rehearsals, ingress, briefing, registration, and program on the day/s of the
event, and egress.

Learning Objectives
After this lesson, the learner is expected to:
1. Identify things to be done during rehearsal
2. Define ingress and identify ingress activities
3. Explain the importance of briefing sessions
4. Define egress and identify egress activities

Rehearsal (Practice)
Rehearsals refer to the practice or run-through of the event program
before the day of actual performance. This ensures that all lights and sounds
will function as planned, and that everybody who takes part in the program
knows what to do and when to do his/her part. Check all components as
indicated in the sequence guide, and resolve problem areas.

Ingress (Move In)


Arrive at the venue before the event one hour before a meeting or day/s
before a bigger event. Ingress or move-in schedule is determined upon signing
the contract with the venue. Most exhibit venues in Manila allow ingress
operations only in the afternoon or the night before an event at the earliest,
and organizers are charged a fee for that. It is a must for organizers to be
present during move-in operations. Do not leave it all to your contractors,
Bring cash box with change and official receipts to accept late payments, as
well as extra copies of the exhibitor’s manual and order forms.

Briefing
Briefing refers to the staff meeting before show time. All the staff
members must be present at the briefing on-site before the event or at the start
of each day of the event if the event lasts several days. Run through the day’s
program during the briefing, Make sure the staff knows the emergency lines.
Keep spirits high.
D-Day
D-Day refers to “the day” of the event. The staff members must know
their respective assignments on D-Day.

Egress (Move Out)


Egress or move our operations follow right after the event. Most
venues/organizers grant exhibitors with a shorter move-out time than move-in.
The exhibitor’s copy of the equipment gate pass is necessary to bring out all the
equipment in the list again. The security guards or a person assigned by the
venue/organizer signs in the equipment gate pass as clearance upon checking
the equipment/exhibit item for egress. Double check the area to make sure
that nothing important is left behind. Do not leave unless everybody has left.
