A formal letter is one written in an orderly and conventional language and follows a specific
stipulated format. These letters are written for official purposes only, such as writing a letter to
the manager, to the HR manager, to an employee, to the principal of the college or school, to a
teacher, etc.

Greeting:
Dear Mr./Ms. Last Name: Use a formal salutation, not a first name, unless you know the person
well. If you do not know the person's gender, you can write out their full name. For instance,
"Dear Pat Crody" instead of "Dear Mr. Crody" or "Dear Ms. Crody." If you do not know the
recipient’s name, it’s still common and acceptable to use the old-fashioned “To Whom It May
Concern.”
Subject:
Write a strong subject line which can convey the meaning of the entire formal letter.
The first paragraph of your letter:
It should provide an introduction as to why you are writing so that your reason for contacting the
person is obvious from the beginning.
Then, in the following paragraphs, provide specific details about your request or the information
you are providing.
The last paragraph of the letter:
It should reiterate the reason you are writing and thank the reader for reviewing your request. If
appropriate, it should also politely ask for a written response or for the opportunity to arrange a
meeting to further discuss your request.

I am writing this letter to you to inform you about the catastrophic situation caused in the town
due to the recent monsoon showers that proved to be deleterious.
The heavy precipitation has afflicted the citizens badly. It has caused shallow mud puddles to
accumulate in the streets making them unable to be walked upon. It has also disrupted the traffic
posing a great economical loss to different industrial departments. Thus, adding up to the
country’s financial loss. The pungent sewerage water bulging out of open drain holes can spread
various fatal diseases. Hence, increasing the number of patients in hospitals.
Those living at low altitudes have been an easy victim and some of the uncemented houses have
been vanquished by the forceful tides of flood. The agricultural fields have been destroyed and
has prompted a great deal of difficulty for the farmers who live hand to mouth. Furthermore, it
is hindering the students in acquiring education, especially those who walked to school daily.
This chaotic situation clearly indicates the lack of administrative attention. If there had been any
precautionary arrangements, the damage at present would have been prevented. Therefore, an
immediate action over this matter is requested from the concerned authorities.

Dear Sir
My name is XYZ. I am writing to report a robbery that took place on 20th July 2022.
On the day in question, I was shopping in the market between 09:00 am and 11:00 am. When I
returned to my house, I found out that the door was broken and the furniture inside was mostly
missing and the remaining untidy.
I immediately checked the entire house and unfortunately, I found out that some valuable items
were long gone. I pondered over for some time and I found out that the items that were stolen
included a diamond bracelet and a silver watch. The silver watch is made up of pure 925 silver
and the diameter of the watch is 2 cm (with Roman numerals making the numbers). The bracelet
is simple white gold bangle and it has diamonds engraved at its perimeters.
Furthermore, I noticed some fingerprints on my bedroom mirror. A piece of red cloth (fairly
untidy) caught in the door handle was also found indicating that the thieves were in a hurry.
Moreover, there were footprints in my garden as well.
I believe that you might be able to trace the robbers by viewing the cameras in the town. You
may also visit the nearby jewelry shops to find out whether the bracelet is sold or not.
