Important assessment information


Two assessment options have been provided for this unit of competency. Do not
complete both options!
Read through each option and work with your assessor to select the one that best suits
your circumstances.

Option 1: Classroom based/training kitchen-based assessment


Select Option 1 or Option 2. Do not complete both.
This unit of competency requires that you provide on-the-job coaching to colleagues. If the
majority of your assessment has been completed in a simulated industry environment (for
example, the training kitchen attached to your RTO), you will be able to demonstrate your
coaching skills in this context,

or

Option 2: Workplace based assessment


Select Option 1 or Option 2. Do not complete both.
If the majority of your assessment has been completed in a workplace, such as commercial
kitchen or in a hospitality environment, and you have the opportunity demonstrate coaching
others in your workplace, this assessment option may be suitable for you.

Complete the following activities.

1. Carefully read the following information.

Successful completion of this unit requires that you provide effective on-the-
job coaching to four different colleagues. It is important that you provide
evidence that you have coached each person.
Below is a guide to the skills and knowledge you must demonstrate when
you are completing this assessment. We have provided a number of
documents to assist you as listed at the beginning of this task.

What do I need to demonstrate?


During this assessment you will be required to demonstrate a range of skills
and knowledge. These include:

 identifying the need for coaching

 discussing with the colleague their need for coaching

 organising coaching sessions

 demonstrating the key principles of training, including:

2. Identify the need for coaching.

In this activity you will learn about each of your colleagues (referred to as
coachees). You will meet with your assessor (who will play the role of your
supervisor) and you will need to gather information about each person so you can
determine their need for coaching.

(I and supervisor meet the at the discussion hall to talk about the employees of Big Bite
Restaurant that has been having problems with the staff training. Due to poor skill set, a
number of guests have left unpleased, hence the discussion is made)

Me: Hello ma’am.

Supervisor: Hello

Me: Ma’am, I wanted to learn about coachees that i will be training over the course of week for
safety and skill training in order to train them better.

Supervisor: Sure. So here is the list of name and picture of all employees. Talking about all the
coachee most lack confidence or have too much of confidence about their skill set, You see
the employees lack overall proper skillset but many refuse to acknowledge that. There are
some with communication barriers due to their shyness. You will be seeing employees who
are disinterested and very much nervous too. I want them to have a good boost confidence,
like the pizza maker guy. I want him to stand confident in front of our customer while making
the pizza. One of our head chef have really bad communication skill. Because of our
commercial cookery, a lot of people like to talk with the Chef about the food but he is very
difficult to communicate and till now we have been barely managing as the customer requests
for the head chef.

Me: Okay, I think I understand the situation here. Will there be any other kind of coachee’s that
I will be expecting?

Supervisor: I think you will be meeting some slow learners as well. The learning range varies
among the coachees and you will have to give individualized attention to different people.

Me: Okay, so to list it down, I have to boost confidence, improve work performance and bring
their communication skill in well build effectiveness.

Supervisor: Yes.

Me.: Great, I have all I need I will meet all the coachees in a week.

Make a time to meet with each coachee prior to the coaching time provided by your
assessor. You must hold one meeting per coachee, as each person will have
different needs.
During this meeting you will need to talk to the coachee about their needs so you
can determine exactly what you will coach them in.
You will need to demonstrate effective communication skills during this meeting,
including using active listening and questioning techniques, so that you are clear on
what your coaching needs to provide.

Overall strategies:

From all the information that I collected so far, I concluded you need training more. I read your
performance report and realized that you have potentiality, your communication skill is good
as well but I think you need more technical guidance.

But i was hoping to get feedback from you on how you would like the training to go for you.

you. It will be focused on practical skills. The training program will stress that good service isn’t
just the front-of- house team’s responsibility. It takes a concerted effort from everyone on the
kitchen crew, too. The prep cook, the food expediter and the cook are critical to providing a
great dining experience for guests. Serving those guests well means a kitchen production line
that operates at its most efficient level. I wanted some of your input too.

your low self esteem. As far as this training concern, the stress will be on the fact that it is not
solely the responsibility of the front-of-house staff to provide excellent service. It also takes a
collective effort from the entire kitchen staff. The prep chef, food expediter, and cook all play
important roles in ensuring that guests have a wonderful dining experience. Serving those
guests well necessitates a kitchen production line that is as effective as possible. I was waiting
for some of your thoughts as well. We will be focusing on safety and skill training as the vast
majority of restaurant mishaps takes place in the kitchen. Knife protection, proper cooking
procedures, healthy lifting methods, and cleaning procedures are all subjects that can help
your restaurant avoid injuries. We will be focusing on boosting your confidence and
communication skill while we go through the training too. I heard that you like knowing details

I am very nervous about this training. I am struggling a lot with some parts of my job and I get
overwhelmed when I am given individual responsibility. I hope to be at ease when i am training

4. Organise coaching sessions.

For this activity you need to look at the information you gathered during your
meeting with each coachee and take notes about:

 what they need to be coached in

 what you need for this coaching

 how long you think this coaching will take (make realistic calculations,
assuming you will be doing the coaching during a work day while other
activities are being performed around you, and consider how long you would
expect each coachee to need to practise skills)

 any information you can provide to support the coaching (including any
workplace procedures or documentation).
Save your notes file as Coaching Preparation. Include your notes for all four
coaching sessions in this document.
Once you have determined what you need, draft an email to each coachee to
provide them with some basic information about your session, including:

 when it will be held (time and location) and for how long it will run

 anything they need to bring (if relevant)

 a basic outline of the coaching session (what will happen, it’s purpose etc).

End the email with a farewell that shows you are looking forward to your session.

Subject: The Coaching session

As we have discussed in the previous meeting, we will be having the training session for safety
and skill training to ensure good guest service. The training will be held in kitchen area for
practical session and during other activities we will be conducting the session in hallways. The
training will be of 3 hours each day and will be done on-the job starting 22 nd of March.

In the training, you will be learning about safety and skill for the kitchen area meanwhile another
set of activities will be done for your communication and interaction skill. For the better learning
purpose, i would request you to get notebooks or notepad to keep the record of what you learned
for future reference.

5. Coach colleagues.

Meet with each colleague at the expected times, dates and locations. Make sure you
have everything you need and that the area is free of hazards or other safety issues.
Conduct the coaching session, making sure that you demonstrate the key principles
of learning. Ensure that you pay careful attention and assist the coachee with any
problems or performance issues they encounter.
Demonstrate appropriate use of questioning and active listening during the session
and maintain clear communication. Make sure your coachee is given opportunities to
contribute by asking questions, talking about what they do when performing this task
or activity, and being able to confirm understanding. Keep to the timeframes you were
provided and the duration of the coaching session you calculated in the previous
activity.

(Coaching session start and we had explanation and demonstration session. The questions
were told to be kept for the end of the session so that no interruption is made. As the feedback
and questionnaire session started, coachees started questioning anything that confuses
them.)

Coachee 2: Sir, I had a question about cleaning procedure. How can we ensure that cleaning
is complete?

Me: That is a good question. But i would like you to tell me from your experience how do think
a place can be said clean?

Coachee 2: Ummm, I think it is when we have cleaning the grease and its is as clean as new.

Me: And what do you think should be used for cleaning?

Coachee 2: I think dish washing soap, cleaning liquid soap and water should be enough for
cleaning.

Me: The items are correct but they are not always enough. Sometimes a grease or dirt may be
too stubborn. In such cases, we might have to be smarter and use something more acid item
or ingredients like baking soda.

Coachee 2: Oh okay. Thank you.

Coachee 3: I have a question about the interaction and communication with guest. There was
a guest who didn’t prefer much communication but always had a dissatisfied look. I didn’t
know how to deal with that person.

Me: Did you communicate with that person asking about their possible dissatisfaction?

Coachee 3: Yes I did. But they always brushed me off saying its nothing. I started to get more
nervous and their visit started to become less and less frequent.

Me: I think its more about the guest themselves than you. If you have done your part of job
and they denied any sort of communication about the issue that they might have, then maybe
they are just too frustrated on their own. If such cases arrive, regardless of situation maintain
your professional expression. It is never right to express without thinking through. It can
hamper your career and the restaurants reputation. If anything seems to be an issue call your
manager or supervisor and communicate with them. Stay out of the business you can’t handle.

Coachee 3: Okay sir. I understood.

Me: Great. Then, that will be all today. We will continue our sessions tomorrow and keep
checking your email. Have a nice day everyone

6. Follow up coaching.

You are to review the information provided in the Coachee Feedback document.
This information has been provided by the coachee about your session.
You will also need to review the information in the Workplace Feedback document,
which includes feedback from others in the workplace about the coachee’s
performance.
Write an email that you would provide to your supervisor (your assessor) about
each coachee’s progress since completing their coaching session.
If there are any issues that need to be addressed, list at least one strategy that
could be used to support the coachee. Identify how you will continue to provide
supportive assistance to each coachee until their skills have markedly improved.
Your email should be clear and concise and written professionally.

Coachee 1: Attended the session well, is more confident and acknowledges mistakes well.
Shown great result in performance and performed better team work with less stress.

Coachee 2: Saw through own drawback well, listened very well throughout the session. The
improvement was moderate but takes initiation to work on mistakes. Requires more coaching

Coachee 3: The pace was fast and seemed to catch on well but didn’t receive as much
attention.

Coachee 4: Opened up during the session, very interactive in comparison to expectation, has
learned very well. The outcome has been fantastic, the morale has improved very well and self
esteem in one’s work is higher than ever.

Coachee 5: Learned very well and seemed to have understood but have difficulty keeping up
with training knowledge. Requires more training, improvements limited to the training period
only, and problems with skill yet to be solved.

Given the progress, i have concluded that the employees who need more training will be
contacted through email and Zoom for meeting and discussion on professional expertise for
next 3 weeks. I will ensure the follow up.

Activities – Option 2
Complete the following activities.

1. Carefully read the following information.

Successful completion of this unit requires that you provide effective on-the-
job coaching to four different colleagues. It is important that you provide
evidence that you have coached each person.
Below is a guide to the skills and knowledge you must demonstrate when
you are completing this assessment.

What do I need to demonstrate?


During this assessment, you will be required to demonstrate a range of the
skills and knowledge. These include:

 identifying the need for coaching

 discussing with the colleague their need for coaching

 organising coaching sessions

 demonstrating the key principles of training, including:

o explanation

o demonstration

o review

o listening to trainee explanation

o observing and evaluating trainee demonstration

o providing feedback

 demonstrating active listening and questioning techniques

 complete coaching within commercial time constraints

 monitoring the coachee’s progress and providing assistance

 reporting progress

 identifying any performance problems of difficulties and identifying


strategies to address them

How will I provide evidence?


Your assessor will observe at least one of your coaching discussions and
coaching sessions and complete an assessment checklist to document your
performance.
Each time you coach a colleague you will need to complete a reflective
journal (a reflective journal provides an opportunity for you to think about the

coaching process – what went well, what you would do differently next time).
It also helps you to provide evidence for the other coaching sessions.
Your supervisor will need to sign off on each Reflective journal you
complete. You will also need to get your coachee to provide some feedback
on your performance and to sign off. You will find the sign off section at the
end of the document.
Make one copy of the Reflective journal for each coachee.

2. Identify the need for coaching.

In this activity you will need to determine the need for coaching for four colleagues.
The way in which you identify these needs will vary and could include talking to
your colleagues, looking at work documentation, observing their performance,
talking to your/their supervisor and other colleagues, reviewing self-assessment
information and so on.
Fill out the relevant section in your reflective journal.

3. Meet with each coachee.

Make a time to meet with each coachee. During this meeting you will need to talk to
the coachee about their needs so you can determine exactly what you will coach
them in.
You will need to demonstrate effective communication skills during this meeting,
including using active listening and questioning techniques, so that you are clear on
what your coaching needs to provide.
Your assessor will observe at least one of these meetings. They will work with you
and your supervisor to arrange a time for observation, either in person or by using
online meeting/video conferencing software.
Fill out the relevant section in your reflective journal.

4. Organise coaching sessions.

For this activity you need to look at the information you gathered during your
meeting with each coachee and determine:

 what they need to be coached in

 what you need for this coaching

 how long you think this coaching will take (make realistic calculations, as you
will be doing the coaching during a work day while other activities are being
performed around you, and you are completing your own work; also consider
how long you would expect each coachee to need to practise skills)

 any information you can provide to support the coaching (including any

workplace procedures or documentation).


Once you have determined what you need, send an email to each coachee to
provide them with some basic information about your session, including:

 when it will be held (time and location) and for how long it will run

 anything they need to bring (if relevant)

 a basic outline of the coaching session (what will happen, it’s purpose etc).

End the email with a farewell that shows you are looking forward to your session.
Fill out the relevant section in your reflective journal and attach your emails to each
person.

5. Coach colleagues.

Meet with each colleague at the expected times, dates and locations. Make sure
you have everything you need and that the area is free of hazards or other safety
issues.
Conduct the coaching session, making sure that you demonstrate the key
principles of learning. Ensure that you pay careful attention and assist the coachee
with any problems or performance issues they encounter.
Demonstrate appropriate use of questioning and active listening during the session
and maintain clear communication. Make sure your coachee is given opportunities
to contribute by asking questions, talking about what they do when performing this
task or activity, and being able to confirm understanding. Keep to the timeframes
you were provided and the duration of the coaching session you calculated in the
previous activity.
Your assessor will observe at least one of these sessions. They will work with you
and your supervisor to arrange a time for observation, either in person or by using
online meeting/video conferencing software.
Fill out the relevant section in your Reflective journal.
Ask the coachee to provide feedback.

6. Follow up coaching.

Monitor the progress of each coachee until they are demonstrating competency in
the area/s in which you provided coaching.
Provide evidence that you have, for each coachee:

 supported and assisted them

 taken action to address any issues or difficulties with their progress and/or
performance

 reported on their progress to relevant personnel.

7. Submit documents to your assessor.

Send or submit the following documents to your assessor:

 Emails to your coachees (activity 4)

 Reflective journal for eachcoachee, with required evidence attached.

Make sure your coachees have provided feedback and signed off on your journal.
Your supervisor must also have signed off each journal.
