Daily Site Reports - Advice and Guidance
This document provides advice and guidance for creating your own daily site reports and
should be referred to alongside the ‘Daily Site Reports’ template in the Templates section of
your Member’s Area.
When a claim situation arises, it is essential that we have records to first investigate the matter,
i.e. what happened and when it happened and second, to be able to provide evidence in
support of the claim. Daily Site Reports will often provide a very useful source of information
and substantiation, provided that:
We have seen many situations where responsibility for completing daily site reports has been
given to someone with little understanding of the report’s purpose and function. This type of
situation is not good practice. For example, a timekeeper may be able to complete a list of
resources on site and even material deliveries but is unlikely be able to record activities that
are in progress or on hold, or instructions that have been received or are required.
It is therefore recommended that responsibility for compiling these reports lies with someone
who has a complete overview of the project. We would also recommend that the project
manager reviews each report before it is finalised and issued.
The Daily Site Reports should be issued to the party who is administering the project on behalf
of the Employer so that they become contemporaneous records which may be relied upon
should it become necessary to substantiate a claim.
The Daily Site Report template is included here for you. Obviously, the content, details and
size of the report will be dependent on the size and complexity of the project, but this contains
sufficient basic information to form the basis of good reporting. The template also includes an
example of a completed report for reference.
