    Management Information system

    Question : 1
    You being the manager of your company ,
    design a systematic approach of
    implementation of MIS in your organization
    .Also enumerate the steps how you will try
    your subordinates for using MIS in their daily
    work.
    I will implement MIS through following –
    1. To know the needs regarding information:
    First, an analytical study of that information is made which are needed
    for the external parties related to the organisation viz., government,
    customers, suppliers, labour unions etc.

    The needs of information are related with the size of organisation, nature
    of business, financial position, state government policies and several
    other factors.

    There are two methods to judge the needs of the information. First, the
    users of the information may be asked as to how much information they
    need to accomplish their task. Secondly, they should be asked as to how
    they take the decision and then judge what information should be
    provided to them.
    2. To explain the objectives of MIS:
    The second step is to clearly define the objectives. Just monitoring to
    increase the efficiency is not sufficient. Objective should be clear in terms
    of what one will do with the information received by him. The size of the
    objectives is related with the planning, management control and
    continuous flow of information.

    3. To determine the sources of information:


    After estimating the need of information and clearly defining the
    objectives. The third step in installation of MIS is to determine the
    sources of information. There are several sources. The internal sources of
    are accounts, files, statistical papers etc. and external sources are
    commercial and government publications. Information can also be
    collected by personal interviews and personal inspections.
     4. To set the method of collection can classification of information:
    After determining the sources of information, the method of collection
    and classification of information is chalked out. It is decided what will be
    the source of information, frequency, quantity and time of information?
    After collection how it will be classified? Where computers are used the
    statistical information is feed into them, for which an outline is prepared?

     5. Method of giving information:


    The next step is to determine the method of giving information. It is
    decided as to who the information is to be given, how many copies are to
    be prepared, when and what will be its frequency and in which form it is
    to be given. They can be communicated by reports, charts, statements or
    even orally.

    6. Cost profit analysis:


    Finally, the cost to be incurred in information system should be assessed
    and the benefit should be estimated. The cost of information system
    includes the cost of its implementation, practicing it and its evaluation.
    These costs should be compared with the cost present system of giving
    information.

     7. Evaluation:
    Three to six months after implementation of management information
    system, it should be evaluated, so that, it can be judged whether the cost
    incurred in its implementation is less than the benefits derived from it
    and, also if it satisfies the needs of the persons using it. If it is not
    satisfactory, steps should be taken to make to more effective and useful.

    I will convince my subordinates for using MIS in


    their daily life by telling them the following
    factors-
    1.MIS Helps in managing data
    MIS helps in maintaining and managing crucial business data for assisting
    in complex decision-making by the management. The critical information
    is stored in an organized manner, and it can be accessed by the
    administration quickly whenever required.

    2. Analyses trends
    Management needs to prepare forecasts for strategic planning and
    determine future goals. Thus, to create such a strategy, it is essential to
    have accurate reports on prevailing market trends. MIS uses various
    mathematical tools for analyzing the current market trend and predicting
    future trends based on such information.

    3. Helps in strategic planning


    MIS reports play a significant role in the strategic planning of the
    company. It helps in determining the future needs of the company and
    assists in formulating goals and strategy based on such information.
    Management information system report is also helpful in identifying
    resources required to meet the company’s objective. Thus, it is vital that
    the information provided by MIS and reporting is accurate and reliable.

    4. Problems identification
    MIS report provides information related to every aspect of activities
    taking place in the company. Hence, in case any problem arises in front of
    the management, MIS reports are quite helpful in identifying the source
    of the problem. Also, MIS and reporting are really useful in finding the
    solution to such an issue.

    5. Increases efficiency
    The relevant information provided by MIS and reporting is utilized in
    formulating goals and strategy of the company. Also, the performance of
    the business can be assessed with the help of MIS reports. Hence, MIS
    plays a vital role in increasing the efficiency of the company.

    Ecommerce has gained more power over brick
    and mortor store.Give reasons for
    agreement /disagreement.
    In my opinion Ecommerce has not gained more power over brick and
    mortar store because it’s not hard to conclude that e-commerce will
    continue to skyrocket. Convenience and infinite availability continue to
    attract consumers. Products are also delivered to homes at a faster speed
    each consumer cycle. Trends in e-commerce are unlikely to see a
    dramatic reversal. The brick-and-mortar aspect is a bit different. I think
    you will see less brick-and-mortar retail in the traditional sense.
    Consumers are looking for integrated experiences in their out-of-home
    consumption, such as food and beverage establishments. The mix of
    brick-and-mortar and e-commerce is becoming more harmonized every
    day.

    Focusing on the wholesale and retail sector the demand of brick and
    mortor is different and hence its supply through e commerce is very
    difficult.

    Though ecommerce is driving most of the overall retail growth, in-store


    sales are up and booming. According to the State of Retail survey
    report shared by Time Trade, 75% of buyers prefer shopping in-store, the
    top reason being, it allows them to touch and feel their purchases.
    brick-and-mortar stores need to enter the online battleground of e-
    commerce. As it stands right now, only 28% of small businesses are using
    the internet to sell their products. That means the majority of small
    businesses are missing out on the power of internet sales , and as the e-
    commerce industry continues to grow, these small businesses will start to
    feel the limited potential of having a location-based company.
