1. Introduction

5.1 Objective

Sales Quotation System (SQS) is a standalone application that runs on MS Windows-based


PC and iPad. SQS is a tool caters specially for insurance agent to retrieve accurate
insurance products, to view the specific policy’s benefits and to prepare quotations to their
clients.

The benefits of this new SQS system are it is easier to use with user-friendly user interface
(UI). SQS system comes with built in intelligence and validation rules to help the agent to
reduce errors while doing quotation calculations. By using SQS system, agent will be able to
calculate the premium quotation and policy benefit illustration quickly on the spot to show it to
the prospects.

The function features in the system are save the calculated quotation, retrieve the saved
quotation for review and reference, generate reports in PDF format and print the report. The
“Update Manager” feature available in the windows SQS version will also help you to check
for latest version of windows SQS. Should there be any difference in the version, latest
version will be downloaded and installed in your PCs.

The purpose of this document is to provide a guide to the insurance agent on how to use
Sales Quotation System (SQS) application. For easy understanding, each step will be
explained with screen shot. In the end of this user manual, user should be able to prepare
insurance quotation.

1.2 Intended Audience

This document is intended for the following audience:

2. Minimum Systems Requirements


Following are the minimum system requirements to run SQS system in windows environment:

PC/Notebook
Hardware • Intel Duo Core 2Ghz processor
• 2GB RAM
• 1GB Harddisk free space
• 1024x768 pixel screen resolution
• WIFI

Software • WinXP Home and above


• Adobe Reader v9 or above

3. Installation
Installation of SQS system is by using auto run CD. Windows Vista users are required to disabled
all User Account Control before proceed with installing SQS system.

Pre - Installation steps for Windows Vista users:

Before Windows Vista users install SQS into their PC/Laptop, proceed the steps below to disabled
all the User Account Control to prevent any problem occur during installation process.

Important Notice:
The followings must be done before you install or run TFS application in Windows Vista.
• You are using an Administrator account type
• You have turned off the User Account Control (UAC)
• You have installed Windows Mobile Device Center

Problem encountered when User Account Control (UAC) not turns off
• Application keep prompting user for license key.
• Application unable to save data.

How to turn off the User Account Control (UAC)?

1. Go to Start > Control Panel, then click to open Control Panel window

2. Click on User Account and Family Safety

3. Click on User Accounts

4. Make sure it is an Administrator account type

5. Click on Turn User Account Control on or off

6. Uncheck the Use User Account Control (UAC) to help protect your computer and click the
OK button

7. Restart your computer to apply the changes (Must)


8. Please make sure that you have installed Windows Mobile Device Center before you
proceed to the installation or execution of TFS application

Auto Run CD

Firstly, insert the CD into the CD/DVD Player and the AIASQS Setup Wizard will be displayed as
the following.

If there is no auto run (the auto run function might be disabled), click on My Computer -> go to CD
drive -> choose AIASQSSetup.exe.

1. Click Next button to continue.

 
 
 
2. Click Next button to install the system into C drive.
3. Click Next button to create the program’s shortcut in Start Menu folder.

4. Click Next button to install additional tasks. Unclick on “Create a desktop icon” and “Create a
quick launch icon” to avoid creating shortcuts icon on desktop.
5. Click Install button to install windows SQS System

6. The installation is completed, click on Finish button to launch AIA windows SQS System.

7. AIA windows SQS System shortcut icon will be shown on the desktop.
 
 
 
 
4. Activation of windows SQS System
To activate the access for windows SQS system for new agent, the agent information should be
entered for validation purpose.

Important: The activation process checks against AIA Direct record/data. Please ensure that
the computer is connected to the internet. Agent status is unable to be activated if internet
connection is not present.

Users who do not have their information in AIA Direct or have their accounts suspended will
not be able to activate the windows SQS System.

1. Key in agent information.


2. Compulsory field: Agent Code, Agent Name, Agency code, Agency Name and IC number.
3. Optional field: Mobile number and Email.
4. Click on Submit button.

5. The activation is successful once the successful message is displayed on the screen.
6. Click on OK button.
7. “Change Password” page will be displayed.

5. Password Setting

5.1 For First Time Login


Upon successful activation of the windows SQS System, “Change Password” page will be
displayed for users to set password.

1. Default password is generated automatically by the system and it will be displayed in


the Old Password field.
2. Key in the new password; re-enter the new password again in the Confirmed
Password field.
3. The length of the password should be of:-
i. Minimum 8 characters.
ii. Must be alphanumeric containing at least one non-alphabetical character such as
number (0 -9) or special character (&^%$#).
iii. Cannot start and end with number.
iv. No reuse of any of the previous 13 passwords.
v. Password example: U7#!mpP$$9Y@
4. Click on submit button.

5.2 To Change Password

To change the existing password, click on the Change Password tab.

1. Key in the old password.


2. Key in new password and retype the new password at confirmed password field.
3. Click on Submit button.
4. The password is successfully changed when the successful message is displayed.

6. Login
User logins to windows SQS system by using Agent code and password set earlier. After logging in
to the system, users are able to perform profile update, quotation calculation, view saved quotation
and print report.

Double click on AIASQS shortcut icon on the desktop.

1. Enter Agent Code and Password.

2. Click on Submit button to login.
3. Click on Clear button to clear and key in new Agent Code and Password.
4. Click on Forget Password button if password is forgotten and Activation page will be shown
(refer to B. Activation of iOS SQS system above).

7. My Profile (Agent Profile)
Agent profile will be saved at My Profile page. The information entered during activation will be
retrieved from the system and displayed in My Profile page. My profile is to allow the agent to show
their details such as their education background, the type of product they are licensed to sell, the
insurance company they are working with and other personal details.

1. Click on My Profile tab


2. Information retrieved from the system and displayed on the screen:
3. Agent Code, Reporting to Manager, Name, Designation, Representing company, IC No, Mail
Address and I am licensed to sell.
4. Agents are able to change/ enter the contact number, email address and their qualifications
(those in white field).
5. Click on Browse button to upload photograph.
6. Click on Save button to save the changes made.
7. To update the information retrieved from the system, please contact Agency Record.

8. Quotation Module
 
 
8.1 Create New Quotation

Quotation module is to allowed user to create new insurance quotation/benefit illustration,


save the quotation and retrieve the saved quotation to view/edit or print.

a. Point to Quotation tab to activate drop down list and select on New Quotation button.

2. Enter Life Insured’s personal details


a. User must enter the following mandatory fields before selection of product:
ƒ Name as appear in IC
ƒ Age / DOB (system will auto generate age once the enter DOB)
ƒ Gender
ƒ Smoker
ƒ Occupation
b. Optional fields
ƒ IC No.: Once IC no. is entered, system will auto generate age, gender and
DOB
ƒ Old IC/Passport/ID

3. Enter payor’s details


a. If Payor and Life Insured is the same person, tick the radio button of Payor
information same as Life Insured
b. Or else, enter Payor’s details:
ƒ Name as appear in IC
ƒ Age
ƒ Gender
ƒ Occupation
c. Optional fields
ƒ Relationship

4. Enter spouse’s details (if any)


5. Enter the Life Insured’s contact details and remarks (if any).

6. Choose the type of product (only products that are applicable according to the
underwriting rules will be displayed)
a. Investment-Linked
b. Traditional Plan

7. Click on Next button after selection of a product from the table or left click twice of the
product to move to next page.
8. Enter basic plan and rider information.

i. Key in Sum Assured for basic plan and selected rider(s), then press Tab
button, system will auto calculate Premium and move the cursor to the next
field, or vice versa
ii. Tick the radio button of the selected rider before entering the rider
information

iii. Loading: Click button to input medical loading % (Please note that this
field is only required upon receipt of the U&I counter offer letter)
iv. Tool Tip: move the curser to the rider’s abbrevation to display rider’s name

b. Investment-Linked plan:

i. Key in Sum Assured, then press Tab button, system will move the cursor to
the next field
ii. Tick the radio button of the selected rider before entering the rider
information
iii. Investment Allocation: The summation of the investment allocations must
be 100%
iv. Loading: Click button to medical loading % (Please note that this field is
only required upon receipt of the U&I counter offer letter).
v. Tool Tip: move the curser to the rider’s abbrevation to display rider’s name

9. Click on Previous button to go back to the previous page.


10. Click on Preview button to view the summary of illustration.
11. Click on Generate button to view or to print report. The generated report are available
in English and Bahasa version.

a. To print the report, click on Print button. A PDF format file will be displayed
on the screen, click on print button again to print the report.
b. To save the report in PDF format, click on PDF button at the top of the
page.

8.2 Save Quotation

Save quotation is allowed for user to save the generated quotation for future use such as
view/edit the saved quotation and generate or print report.

1. Click on Save button at the bottom of the page to save the quotation.

2. The quotation is saved successfully.

3. If there are existing quotations found for the same prospect, message “Do you want to
overwrite current proposal?” will be displayed.
4. Click on Yes button to overwrite the current with the existing quotation
5. Click on No button to save the quotation as a separate quotation

6. The saved quotation can be retrieved from Quotation History

8.3 Quotation History

Quotation history is to allow the user to search and retrieve previously saved quotation.

1. Point to Quotation tab to activate a drop down menu and choose Quotation History
option.

2. Click on Search button to list all previously saved quotation.


3. To search for a particular person quotation, enter either one of the options to search for
the particular personal quotation. Enter either one:-
i. Insured Name
ii. Payor Name
iii. Basic Plan
4. Click on Search button.
5. Click on Reset button to clear the field in a-c & quotation list records.
6. All the records found for this person will be displayed at the bottom of the page.
7. To view the details, click on the Folder icon under Open column. Quotation page will
be display once the folder icon is clicked.
8. To delete the record, click on Delete button.

9. To view the details in PDF format, click on PDF icon under PDF column.

9. Update Manager
Update manager is used to check for any latest SQS version. Update manager will automatically
download and install the new/ latest version whenever the system detected two different versions of
SQS.

 
 
1. Internet connection must be present and it is connected successfully. (NOTE: without internet
connection, it is impossible to perform this step)
2. Click on Update button to install the latest application version
3. If system pop up error message, please check your internet connection is successfully
connected, then click on the Update button again.
4. The system will automatically update the system

10. Synchronize Data
 
Allow user to synchronize the saved data between iPad and SQS PC version. The data will be
transfer from iPad to PC version or PC version to iPad and both the iPad and SQS PC version is
updated with the same number of files.

1. Select Sync tab on iPad.

2. Data synchronization page with IP Address and code will be displayed.

3. Click on Sync tab on SQS PC version. Synchronize page will be displayed.


4. Enter the IP Address and code that is displayed on iPad into the correct field in SQS PC
version.
5. Click on Start button in SQS PC version.
6. The system will start to connect both the iPad and SQS PC version. The information will be
synchronize and updated between iPad and SQS PC version.

7. A synchronization successful message will be displayed.

8. Please note that both iPad and PC need to be connected to the same WIFI network.

11. Logout
 

User logout from the system

1. Click on Logout button on top right of the page


2. Click on “X” button on top right of the page to close the application
