Robotic Process Automation (RPA) use the specialised computer programs, called software
robots that allows organisations to automate tasks like a human being was doing so far across
applications and systems. With the application of technology, governed by business logic and
structured inputs, RPA aims at automating business processes of the organisation. Robotic
automation interacts with the existing IT architecture with simple integration process.
So, Robotic Process Automation is used to automate laborious workflow, infrastructure and
back-office processes. Using RPA tools, an organisation can configure a software, or a “robot”
or simply a “bot” to capture and interpret applications for manipulating data, processing a
transaction, triggering responses and communicating with other digital systems. RPA is a set of
digital commands which are executed by Bots under some defined business rules.
The range of RPA scenarios can be as simple as generating an automatic response to an email
to deploying thousands of bots programmed to automate jobs in enterprise resource planning
system.
The development of codes is not required by RPA, nor does it require direct access to the
database or codes of application. But RPA can be seen as a stopgap towards Intelligent
Automation (IA) via Machine Learning (ML) and Artificial Intelligence (AI) and it can be trained to
make judgements about future outputs. RPA can be used as a step before fully adopting to
intelligent automation technologies like ML and AI.
RPA is one of the fastest-growing sectors in the field of enterprise technology. According to
Gartner, Inc. the RPA software revenue grew from 63.1% in 2018 to $846 million, making it the
fastest growing segment, and is expected to reach $1.3 billion in 2019. (Gartner Inc. )
Business processes are not automated or intelligent up to the required levels and many
of them do not like to even follow the IT systems that do not communicate with each
other.
The other IT or automated systems are just too time consuming and therefore expensive
for humans to perform.
Implementing smarter processes can be expensive, involving massive IT transformation
such as an Enterprise Resource
Planning (ERP), or a toolset such as a business process management system (BPMS).
Other processes rely on insights based on human reasoning that computers cannot
replicate. (Deloitte)
RPA bots replicate employee actions like opening files, inputting data, and copy pasting fields in
an automated way. They interact with different systems via integrations and screen scraping,
allowing RPA tools to perform actions like a white-collar employee.

RPA has the intelligence to decide if the process should occur, it can thus analyse the data
presented to it and make a decision based on the logic parameters set down by the developer in
the back end. Unlike other automation, RPA does not require any system integration.
Drawing on the principles of AI, it enables RPA to conduct a number of repetitive tasks smoothly
and accurately. Robotic Process automation is a means of delegating a software robot for
automatic business processes. Once the software bot of RPA learns an action or process, it is
able to carry out the given task without supervision.
So, RPA is meant to automate the tasks of specific people at a specific role, and works on the
computer, pretending to be that same person. The employee records the stuff and the ‘bot’
repeats that task whenever the condition is met.
As shown in Figure 1.2, the RPA system works with the email having an attachment. So every
time an email arrives, it starts reading and look for specific terms or phrases, uses Artificial
intelligence or natural language processing and route the email to put into task queues. It is
noted that this RPA process frees up to 2 hours of employee’s time each day.
RPA log into the applications, move files and folders, copy and paste data, fill in forms, extract
structured and semi structured data from documents, scrape browsers and do more.
The aim to RPA is to streamline operations in enterprise for reducing costs. Enterprises can
automate rule based repetitive business processes or tasks. Several multinational companies
like Deloitte, Accenture, Capgemini and others, use Robotic Process Automation technology in
their day to day tasks that is governed by business logic and structured inputs.
These companies, benefit by using RPA as it provides, accurate, reliable, consistent outputs
with high productivity rates. RPA can make robots to capture data, give desired results and
communicate with other digital systems, so that bots can perform simple tasks like sending
emails, migrating data, perform invoicing or can also manage complex automated ERP
systems. The following diagram shows the various industrial sectors in which RPA can be
used.
been easier when it is led by human imagination, with a growing marketplace of ready-made
ready-to-deploy digital workers available on demand. RPA bots require no IT infrastructure. The
uses of RPA bots can be found in the following industries and many more:
There are many menial repetitive tasks in Financial Services like data validation, migration
between banking applications, customer account management, form filling, reporting and
financial claims processing etc. These repetitive tasks can be swiftly automated by Robotic
Process Automation System, which can optimise the use of data to keep up with customer’s
expectations and thereby improve the efficiency of internal operations to stay ahead in the
competitive market.
Online Apps, full-service web portals and real-time account information are the few examples
which shows how digitization, with the help of RPA propels day-to-day operations with
customers and investors.
The factors that are influenced by RPA in the Financial Sectors are as follows:
Improved Efficiency
RPA helps to reduce overall operational costs of the financial sectors, reporting errors and end-
to-end customer delivery of the system.
Reduce Fraud
With the use of RPA, the detection and prevention of fraudulent transactions takes place.
Reinforce Compliance
Automate Operations
RPA his used to eliminate manual tasks in back office and customer service operations
processes including account opening/closing, payment processing and customer data updates.
Hyper Flexible
Handling and operating banking and finance, investments becomes hyper flexible and can be
done from any hand held smart internet connected device from every corner of the world. A
payment, bank transfer or any kind of financial deals are now the matter of a few finger swipes
only.
Accelerate Underwriting
RPA analyses unstructured piled-up data files and streamline document-intensive risk
assessment and loan/mortgage origination processes.
Know your Customer (KYC) and Anti-Money Laundering (AML) compliance can be checked
automatically by using RPA bots to automate data management activities.
Healthcare providers are among the busiest professionals in the world as they universally carry
out multiple procedures and tasks such as billing and claims management, patient on boarding,
delegating medical professionals, collecting patient reports and data, and providing
prescriptions with the follow up treatment scheduling. All these tasks are traditionally managed
and monitored manually or with the aid of off-the-shelf software. Executing and tracking the
procedures could be tedious, time-consuming and often error-prone.
The advent of RPA in healthcare services has revolutionised this sector also like the others as it
has helped to automate various complex tasks for medical professionals and administrators in
hospitals and clinics. Healthcare organisations thus can improve their efficiency and offer better
medical care for their patients, and presents a feasible solution for several concerns related to
this industry. (Joshi)
RPA lessens the administrative burden by automating healthcare processes, including patient
information, migration, processing and storage, medical bill, insurance data, and claim
processing and so on.
Healthcare business not only concerns about efficiency but also focussed on improving health,
providing better care for patient and lowering the overall healthcare cost.
With the advent of RPA, evidence-based healthcare care has never been easier. Evidence-
based healthcare involves the use of best current evidence as the decision making factor for
caring the individual patient. Current best evidence is up-to-date information form relevant, valid
research about the various forms of healthcare. Robotic Process Automation helps to create an
extremely scalable, secure and reliable digital workforce to access, process, and retrieve data to
make better evidence-based decisions for the patients.
The following can be seen as advantageous factors using RPA in the healthcare industries:
Healthcare industry use RPA data to personalize care and improve patient rapport.
RPA helps to reduce compliance risk by eliminating human errors and facilitate the records to
stay audit ready with automatic bots crawling the processes.
RPA taps into different data sources to improve clinical and financial outcomes.
According to a leading magazine, it has been researched that more than seven hundred and
fifty quadrillion bytes of healthcare data are produced each day, and out of that most of the data
goes untapped, resulting in missed opportunities to improve the lives and wellness of patients.
RPA helps healthcare organizations to strategize health care treatments, reinvent business
processes, services, and products offered. (Fortune, 2018).
Improvement of Quality
RPA allows to efficiently to prepare and process health care data, which can be used in
evidence based health care and other future diagnosis and treatment, thereby improving patient
care outcomes.
Digital workforce with the RPA bots allows the automation of repetitive tasks for the call centre
and decreases call resolution time.
RPA accumulates all kinds of data from every points of a healthcare system, thereby allowing a
360 degrees’ view of patient information.
3.3.1 Case Study on how 30 years’ healthcare data has been migrated in 24 hours
BPO industry rests on two main pillars – one side contains low-skill, repetitive, high-volume of
work, and on the other side remains the large pool of trainable low-cost workforce.
RPA technology can bring in a breakthrough with the workings of the BPO industry with its
unattended automation, allowing the virtual workforce to run in batch mode without any human
intervention and requirement of human decision making. RPA integrated process thus helps the
BPOs to retain, acquire customers to grow profitably.
Outsourcing is no longer the only option to decrease cost and streamline operations. RPA
should be a serious consideration for BPOs looking for more innovative and nimble approaches
to run their business. Embrace RPA to deliver new business capabilities and increase the value
of services delivered to customers.
The following are the benefits for using RPA in the BPO industries:
RPA helps to automate repeatable tasks and so redirects high-value human capital to
consultative activities which enhances business value to customers.
RPA can be deployed to improve throughput, accuracy, and control in rapidly expanding BPOs.
RPA enables agile implementation of innovative programs without rapidly increasing human
capital.

to reduce the operational costs and improve performance – without compromising on customer
data and application. The BPO provider integrated UiPath’s RPA tool in to their system to
develop a Global RPA solution.
In the first six months itself, the RPA tool could automate 150 processes for the BPO’s service
delivery to external customers. It reduced the human teams’ repetitive work, error rates were
lowered and the impact of workload peaks had also been lowered. The below Figure 3.7
graphically shows the outcome of Robotic Process Automation System integration in that
particular Global BPO.

Manufacturers can evolve production processes and business functions to improve operations,
increase profit and also provide labour relief with RPA implementation.
Supply chain management (SCM) uses RPA to automate low-value tasks and streamlines
operations by reducing human errors.
Managing and tracking regulatory requirements globally can be expensive and significantly
impact on profitability, and all these regulatory compliance processes can easily be streamlined
by RPA.
The agility of the business processes can be enhanced and to improve critical decision making
by enabling teams and systems to access data needed to manage production. RPA enables
manufacturing companies to supply products to consumers faster by automating lengthy
approval processes, offering real-time insight into bot and business performances.
As robotic processes generate a lot of data, this can be further analysed to identify how the
processes can be enhanced, thus bringing in greater efficiencies, reduced waste, higher quality
and lower the amount delays. RPA becomes a part of continuous improvement for the supply
chain management.
RPA ca be integrated and work across multiple platforms, software, systems used by other
stakeholders in the SCM. This helps to reduce data duplication and increases speed and quality
for all suppliers, manufacturers, retailers and other organisations.
Bill of Materials or Product structure is the list of raw materials, all the assembly and sub-
assembly products and parts and quantities for each to manufacture an end product. RPA while
keeping note of all the stock can streamline information gathering—such as components, raw
materials, and subcomponents—to give the production team better oversight and improved data
quality to meet production goals and fulfil product orders perfectly without a loophole.
Digital Workforce with RPA works with human counterparts to track and manage real-time data
and enables the running of the manufacturing process at an optimal pace.
3.6. Insurances
Insurance companies around the world involves in producing large amount of monotonous data
which can result in unsatisfied customer satisfaction and also takes up a lot of human working
time. In the course of handling day-to-day insurance operations like underwriting, claims
processing, policy servicing, etc., insurers are flooded with tremendous levels of routine,
repetitive and operational tasks. This has contributed to rising operational costs and stalled
growth in the insurance industry. RPA technology can ease these challenges in an insurance
industry as it has the capability to handle repetitive tasks effortlessly, error-free and tirelessly.
Robotic process automation (RPA) enables organisations to access data across various
systems and automate repetitive manual tasks. As the manual processes get automated,
employees can now focus on developing innovative insurance products, accelerating claim
handling, and improving fraud detection. The necessity of digital innovation with RPA within the
insurance sector is very well said by Scott Simony, Head of Industry at Google as, “Insurance is
a highly regulated industry and it is not easy to move quickly, but the fact is consumers are
moving at exceptional rates. So the companies that will stand out are the ones that are going to
find ways to move a bit faster, at the pace of the people they’re insuring.” The following are the
benefits for using RPA in Insurance Industry:
A Case Study
Figure 3.11: How Wipro enhanced its Insurance division using RPA
Human Resources organizations happen to link up business demands and the employee
experience and are challenged to deliver on both ends successfully.
HR departments worldwide are adopting Robotic Process Automation (RPA) combined with AI
to free HR professionals from handling manual, repetitive, data-intensive work, thus reclaiming
up to 40% of their time, by working 10x faster and with 100% accuracy, thus making the
workplace happier and more human centric.
Streamlines HR Operations
Recruit, screen, and on board new hires more quickly and efficiently.
Eliminate manual tasks associated with resume review, interview follow-up, background checks,
and offer letter preparation.
Validate new hire information, populate data in multiple systems and trigger on boarding
workflow.
Figure 3.12: How RPA help Human Resource department to automate manual tasks
A Caselet
The study has been done by Automation Anywhere, whose HR bot was able to eliminate 2 ½
years’ data backlog in 60 days.
CHALLENGE:
The human resources department at one of the nation’s largest life insurance and financial
services companies, with over 2500 employees and more than $4 billion in revenues, had a
backlog of digital employee records waiting to be uploaded and filed into an internal system.
The 60,000-record backlog, increasing by 1000 new records each month, would take a
dedicated HR resource over 2 years to process.
SOLUTION:
Working with the extensive Automation Anywhere RPA toolset, the development team deployed
one customized bot per process to handle all the work, end to end. The initial RPA project to
upload and file employee records cleared the backlog of work in 60 days.
OUTCOMES:
There are several Robotic Process Tools automation tools available in the market and each one
has unique solution to the business procedures. Choosing the right one from the available one
can be a daunting task, yet there are a few most popular which are used by a number of
enterprise owner to automate their various business processes.
The popular RPA tools available in today’s market are – UiPath, Blue Prism, Another Monday,
Another Day, Pega, Context, Jacada, WinAutomation, NICE Systems, Kryon, KOFAX from
Lexmark and many more.
Bots automate the periodic tasks done by the employees through the software. Among all the
available RPA tools, UiPath is the mostly used tool to automate Windows desktop application.
The tool is used to automate redundant and repetitive tasks and does not require any human
intervention.
4.1. UiPath RPA tool – the most popular across the globe
UiPath works with the Citrix server, which allows the user to access the full virtual desktop
system like Windows 10 or Win 7 or OS from any system. UiPath can handle complex
processes of any size of businesses and can also be used by non-developers. It helps the
global enterprises to design, deploy a robotic workforce for their businesses.
Features of UiPath
UiPath can be hosted in terminal or in cloud environments.
Provide support for a high range of applications which combines web and desktop
applications.
It has auto login to run the bots
It affords an open platform
It can automate faster than other bots, even eight-ten times faster than Citrix too.
UiPath can manage any number of complex processes
It can work accurately work with many languages like .Net, Java, Flash, PDF,
Legacy, SAP etc.
Furthermore, RPA can reduce staffing costs while increasing productivity and efficiency. RPA
applications that take care of the redundant grunt work free up employees to do other tasks that
may ultimately prove more interesting and challenging.
RPA works faster than humans doing the same tasks, which means quicker turnarounds when
dealing with clients. This is also handy when higher-ups on the corporate ladder want certain
things done “yesterday!”
Also, businesses don’t need fancy software or deep system integration in order to have RPA
tools work with their existing legacy systems. In fact, businesses can further boost their RPA by
adding elements such as speech recognition and natural language processing. RPA is an
extremely scalable asset, and the robotic workforce can be adjusted to accommodate the peaks
and valleys of the company’s workflow.
So, businesses bringing in RPA do so in order to increase efficiency and speed, cut costs
without sacrificing quality, boost productivity, and bring in a measure of flexibility and agility.
Like many other new technologies and approaches, RPA has a number of potential benefits.
These will, of course, only be truly beneficial if they are understood and implemented correctly.
Robotic process automation allows for large, data-heavy or repetitive tasks to become
automated. When done by a human worker these tasks are prone to human error or failure.
They can also lead to people losing focus and interest in their job. This can slow down
productivity and harm production standards.
Like other forms of automation, robotic process automation also helps to reduce error rates.
Using automation on the production line to do repetitive tasks can also help to maintain product
quality standards. Additionally, automation allows workers to focus on more engaging or fulfilling
tasks. This can improve job satisfaction and productivity levels.
RPA is a scalable and flexible enterprise platform. This means that instead of struggling to
automate your entire operation in one go you can do it in stages. This allows you to start in a
department that is ideal for implementation before rolling out the system into other areas. This
allows you to identify potential future problems and solve them before they become major
issues. This steady approach to automation means that employees are able to gradually get
used to the idea. Consequently, implementation can be smoother and problem-free.
Security
Automation allows for systems to become more secure. Applications such as encryption and
secure access mean that systems are less prone to hacking or becoming infected. As a result,
RPA can make your systems more secure and more effective.
Advanced Analytics
As we have highlighted RPA allows for the digitisation of repetitive processes. However, it can
also be used to sort through large amounts of data. Additionally, RPA will present this data,
once analysed in an organised or structured manner. This means that it is easily accessible and
useable.
Cost Savings
There are a number of ways in which RPA can help to save your company money. Not only
does automation cut down on human error it can improve productivity. As it is an automated
application RPA can function constantly with no downtime required. Also, by automating
repetitive tasks, human employees can focus their time on more productive tasks. This can
improve productivity without the need to recruit new staff.
