Overview
The HDD Replacement Tool is provided to transfer machine HDD data from an “active working”
HDD to a new HDD prior to replacing the HDD.

Important Notes
1. The HDD Replacement Tool can only be used when replacing a Normal HDD (non-secure)
with the Normal HDD (non-secure) or a Security HDD with the Security HDD.

2. It is not possible to transfer HDD data from one MFP to a different MFP. Any attempt to do so
will result with a “Failed to find data” message displayed on the MFP Control Panel.

3. The USB to be used with the HDD Replacement Tool must be formatted as FAT32 only.

Precautions
- When this tool is being used, the button to shut down the equipment may not respond. If this
should occur, keep pressing the button for at least 10 seconds. The equipment will shut down
after approx. 10 seconds have passed.

- Be sure not to store other scripts such as a log collection script on the same USB device.

- When the restore has completed, the backup data will be deleted from the USB device.

- Maximum data backup size: HDD 160GB = 30GB / HDD 320GB = 75GB
The backup will fail if the total size of the data for "Backup e-Filing data", "Backup Scan to Local"
and "Backup Scan to URL" has reached 30 GB for the equipment with the 160 GB HDD installed
or 75 GB for the equipment with the 320 GB HDD installed.

- CA certificates, Self-signed certificates and client certificates cannot be backed up and


therefore will be required to be recreated. Refer to “Post-processing”

- Color profile data stored in the MFP will not be include in the HDD back-up process. Therefore,
the color profile data must be imported to the MFP after exchanging the HDD and restoring with
the HDD Replacement Tool.

Advance Preparation
1. Confirm the firmware version of the MFP SYS ROM
Confirm the firmware version of the machines’ SYS ROM is at the minimum required firmware
version according to the table listed below. If it is not, update the machine firmware to the
required minimum version or later.

2. Record the value of code 08-8911 (MFP Security mode)

3. Export all color profiles prior to replacing the HDD (refer to the Top Access Guide).

4. Export all self-signed and client certificates

5. Prepare the Script file and copy it to the USB root folder. The files can be downloaded
from the "Utilities" tab of the specific machine Product Page on the Tech-To-Go website.

Load the following two files onto the root of the USB device:
- “hdddatacopy_t20.sh”
- “hdddatalist (folder)”

Important Note
Be sure to confirm the file size of the downloaded files are the same as the values listed
in the table below after they have been loaded onto the USB before performing the
backup. A difference of file size could cause a part of the backup data to become invalid.

3. Backup the data in the e-Filing and shared folders.


For details regarding the available data for backup, refer to “Maximum Data Capacity of the HDD
for each Model Series” page 6.

To confirm the data size of the e-Filing and shared folders in Top Access, refer to page 8.

Data Backup Operation


1. Power ON the MFP in the 08 mode and log in. Then connect the USB device.

2. The menu screen shown below will appear.

Note:
For information regarding the list of items to be backed-up when selecting 1-4 in the menu
screen above, refer to the table in “Data Copy Tool Menu Options” on page 7.

3. Select the data to backup using the digital keys from 1 to 4 (select/deselect).
• Confirm the size of the e-Filing data, Scan to Local data (shared folder data such as
Scan and Fax) or Scan to URL data.

• For a rough estimate of the time required for backing up/restoring data, refer to
“Estimation of time to complete the backup” on page 9.

4. Press the [START] button to begin backing up the selected data to the USB device.

5. When the backup of all data has completed, remove the USB device and press the [ON/OFF]
button to shut down the MFP.

Note:
When the MFP is set to High Security mode (08-8911 set to “3”) or using [Card Authentication],
[User Authentication], [Pin Code Authentication], [Home Directory] or 08-8776 (PIN code login),
backup the data in the SRAM according to the following procedure:

1. Connect the USB device and start the MFP in the 59 mode. Select “1” (Backup SRAM
Data to USB) and press the [START] button.

2. When the backup has completed, press the [ON/OFF] button to shut down the MFP.

If a “Failed to copy data” error should occur, refer to “Recovery Procedures if an Error Occurs”
on page 10 then begin again with step 1 above.

Replacement with a New HDD / F/W Installation


6. Replace the HDD with a same type of new HDD only (security or non-security).

7. Format the new HDD without new key generation.

Caution: Never select “3” (Format HDD) in this mode since the security key is
changed to a new one.

• Start the MFP in the 3C mode.

• Select “9” and press the [START] button.

• “Complete” appears.

Note
For additional information regarding the purpose of formatting in 3C-9 mode refer to
“Additional Information” on page 6.

8. Press the [ON/OFF] button to shut down the MFP.

9. Start the MFP in the 49 mode and then connect the USB device. Install (update) the S/W in
the new HDD. For example: (SYSTEM SOFTWARE (HD Data)).

10. After “Complete” appears, remove the USB device and press the [ON/OFF] button to shut
down the MFP.

Data Restore Operation


Important notes prior to performing the Data Restore Operation:

- Confirm the Security mode (08-8911) of the MFP is set to be the same Security mode it
was set to prior to performing the data backup.

- Confirm the firmware version on the replacement HDD is the same firmware version as
the original HDD.

11. When High Security mode is set (08-8911 set to “3”), you must first restore the data in the
SRAM according to the following procedure:

1. Connect the USB device and start the MFP in the 59 mode.

2. Select “2” (Restore SRAM Data from USB) and press the [START] button.

3. When the restoring has completed, press the [ON/OFF] button to shut down the MFP.

12. Start the MPF in the 08 mode and log in.

13. Connect the USB device. (Wait until the “WAIT” message disappears)

14. The menu screen appears.

15. Select “Restore user data” using digital key “5” and press the [START] button.

(Restoring the backup data from the USB device begins.)

16. When the data restore has completed, “Remove USB. Please shutdown the machine”
message appears.

17. Remove the USB device and press the [ON/OFF] button to shut down the MFP.

Post-processing
Upon completion of the backup process, the following items may need to be reloaded into the
MFP:

1. Deleted CA certificates, self-signed certificates and client certificates may require assistance
from the user/administrator to be created again if necessary. Refer to the MFP Top Access
Guide.

2. Import all color profile data to the MFP that was exported prior performing the backup
necessary.

Additional Information
3C-9 Mode - Format the new HDD without new key generation
This mode is used to format the Security HDD, by using the same security key as the pre-
change HDD. (The security key in the MFP will not be changed. In the 3C-3 mode, a new
security key will be applied.)

This mode is newly added as a countermeasure if backing up of the data has not been
performed before replacing the HDD with a new one. By using this mode, the data of the pre-
change HDD can be backed up since the security key will not be changed.

Note
If the size of each data displayed on the Control Panel exceeds the Maximum Data Capacity
amounts listed above, perform the backup by means of another method in TopAccess (refer to
the “Backup method other than using the Replacement Tool” column in the table below under
“HDD Data Copy Tool Menu Options”.

Procedure if an Error Occurs


If a problem such as power failure should occur during any process (F/W update, backup,
installation, restore), reattempt the process by repeating it beginning from the first step of the
related process.

Note
The above table includes the description in the Service Manual. Depending on the model, the
total size of the data may exceed the amount allowed for a USB device. When there is not
enough space in the USB device, backup cannot be performed.

Estimation of Time to Complete the Backup


The following estimation is provided since the CPU performance differs depending on the model.
In this example, the e-STUDIO5055C Series is used for explanation purposes only.

1. F/W update for an old HDD: 6 min.


2. Replacement with a new HDD: 5 to 10 min.
3. New HDD format: 6 min.
4. F/W update for a new HDD: 6 min.
* Other operations such as opening/closing the cover, starting/shutting down the MFP: 8 min.

5. Backup and restore operations for the MFP setting data, address book, etc.: A few minutes
per each operation.

6. Backup and restore operations for the following data:


Image data in e-Filing, data in the shared folder (scanned data and saved copy/fax transmissions
data) and the Scan to URL data - the processing time is determined while considering the
following values as a guideline:

Backup: Approx. 5 min. /1,000MB


Restore: Approx. 4 min. /1,000MB

Recovery Procedures if an Error Occurs


- If a problem such as a power failure should occur during any process (F/W update, backup,
installation, restore), repeat the procedure beginning with the first step.

- If a “Failed to copy data” error should occur, perform the following steps:

1. Keep the USB connected to the MFP and shut down the MFP by using the power key
on the Control Panel

2. Remove the USB when power is OFF.

3. Power the machine on in 5C mode, and choose “1, Check F/S” then “1,ALL” to check
the condition of all partitions.

4. If an error at step 3 above should occur, perform 5C-2 “2. Recovery F/S” procedure to
repair the partition which has an error.
