HOTEL KEYS

Security means safety, as well as the measures taken to be


safe or protected. In order to ensure a certain level of security, any organization or business
like hotels with valuable assets should have a key control system to safeguard its building,
vehicles and other assets and also for the protection of its guests. To be able to satisfy hotel
guests, hotels should prioritize their safety but not only that, as well as to protect the hotel’s
properties. That is why, key management plays a major role in good, proper organization
and control in conducting its business.

Types of Hotel Keys

MASTER KEYS
a. GRAND MASTER KEY
It opens all the guest rooms in the hotel even if they are double locked. It is controlled as
strictly as possible; only the Manager and Department Heads have copies of their own. The
Night and Assistant Managers share one, passing it from one to another as they come on
duty. It is used in the following circumstances:

1. In the case of a fire for the purpose of guest evacuation


2. To open double lock rooms if there is no response from the guest for entire day.
3. To double lock a door from outside:
a. If the guest has requested for the room to be locked in this way.
b. The guest has not paid the bill and is suspected of being skipper
c. To prevent entry into the room in case of unusual incidents like thefts, deaths or murders.

b. SECTION MASTER KEYS


Usually intended for maintenance workers, this key opens all maintenance doors in one
area. Copies are controlled by the Engineering Department. This type of master key opens
rooms in one area of a hotel. An inspector may be issued more than one key of this type
because he/she may be required to inspect the work of more than one room attendant.

It can be the Floor Supervisors Master Key which operates all sections on the floor/ floors
supervised by the particular supervisor and the Housekeeping Staff Master Key which
operates all rooms serviced by particular room maid or housekeeping staff.
GUESTROOM KEY

Guestroom key are those keys distributed to guests. This type of key opens a single
guestroom and, in some cases, other locked areas such as the pool. Guestroom keys are
stored at the front desk when not in use.

KEY-CARDS
Metal room keys are being replaced by electronically coded key-cards. It is normally a flat,
rectangular piece of plastic and may also serve as an ID card.

Instead of the old keys (keys with a heavy tag) computerized encoded plastic keys are being
increasingly introduced to increase more security. When the guest checks in the
receptionist prints out plastic key card at the computer console so that all those using the
room will have their own card (the guest has to remember his room number for the security
reasons as this is not displayed/printed on the card.

EMERGENCY KEY

The emergency key opens all guestroom doors, even when they are double locked. It can
be used, for example, to enter a room when the guest needs help and is unable to reach or
open the door. The emergency key should be highly protected and its use strictly controlled
and recorded; it should never leave the property. One procedure for emergency keys is to
have them locked in a safe or safe deposit box and signed out by the individual needing
one. The log should be dated and signed by the individual taking the key.
LOST KEY OR CARD???

 Guest should not panic. Report it


and ask the concierge to deactivate your
card and program a new one.
 If the hotel uses regular metal keys,
guests who lost it are more likely to pay
a fine. Unlike an electronic card, a lost
key cannot be deactivated.

 Should the key never turn up, the hotel must change the locking mechanism
 When keys are lost or stolen, the locks should be changed or rotated to another part
of the property. It should also be reported immediately and, after due investigation,
a decision should be made.

That is why, for effective management of hotel keys, keys should be stored separately and
securely. Only authorized person should be allowed access to any key. And for hotel
properties’ protection, use keys that do not identify the property’s name, address, logo, or
room number.
