REPORT

Exclusive Summary
The purpose of this audit was to uncover weak internal and external communication links,
identifying strengths, explore areas of opportunities, and recommend strategies toward
general improvement over the internal and external communication manners and practices of
the Cricingif company.

Two audit methods were used to achieve the objectives, which were, face-to face interviews
with the manager and a survey questionnaire designed to evaluate how employees in the
Human Resource department communicate with each other within the company. On the
whole, the staff is satisfied with the quality of internal communication, but there is a need to
improve understanding and trust between employees and managers.

In Conclusion, recommendations will be helpful in improving some aspects of difficulties


that Cricingif faces.

Introduction
A communication audit has been conducted for the Cricingif organization, which is a cricket
based organization. Cricingif means to give the most captivating cricket inclusion on
advanced, with the best cricket following background. I chose their Development
Department because this organization has a little dimension and it is in the developing stage.
As they are developing, they are confronting plenty of issues and attempting to discover
answers for them. Cricingif is currently following diverse procedures to build up their areas
of expertise and make this organization remains without anyone else. So I imagined that this
organization would be an ideal alternative for this project.

A communication audit is an image of an organization's communication strategies, activities


and programs. The purpose of a communication audit is to analyse internal communication
practices, processes, and attitudes. This report aims at finding out the weaknesses and to
assess the effectiveness or lack of effectiveness within the company regarding their
communication. Potential opportunities will also be highlighted within this report. The
central goal for this audit is of improving the communication and management within the
organization.

Methodology
The method used in the audit are

 One to one interview with the senior manager


 Survey + Questionnaire with the employees

Communication Tools
Cricingif is using all the advance communication methods used worldwide.
Slack: Slack is used for official communication between employees.

Gmail: Gmail is used by HR department to make announcements for employees with the
directions of CEO.

Visual Studio: Requirements from CEO and CTO are gathered and communicated to teams
through Visual Studio Boards (Azure) where feature tickets are created and daily employees
work hours are logged against assigned ticket to individual person.
Apart from these tools daily scrum meetings and verbal communication is a major part of
interaction.

Interpretation of Interview questions


The interview with Cricingif employees took place concurrently with the senior manager.
The questions for the interviews were designed to approach communication in the
organization in a holistic manner and cover communication within the leadership team as
well as communication throughout the organization. The interviews took place on the same
day and were back to back with each taking approximately one hour to complete. Notes were
taken throughout the interviews to capture data for the audit.
He said the most effective way of “Every individual method used has different features
according to the requirements and need. Tasks assigned from higher management via Visual
Studio Board are explained and assigned to individual teams via verbal communication which
plays a vital role in understanding. Tools used for assigning tasks to teams are for tracking
weekly, daily and hourly work done”.

The corporate information is delivered to Cricingif employees, Official information regarding


company or other corporate world is shared to the employees through meeting called bi-
monthly and monthly. Plus, this information for track record is maintained via Email so every
individual is at the same page at any time of the year.
The senior leadership team communicate with each other, Cricingif is a growing product
based company which is fighting hard enough to opt the different processes of project
management in order to become a well-established company. For this we are using Agile-
Scrum methodologies in which bi-monthly sprints are planned via team meetings. Meeting at
the start called planning meeting is called in which people from individual teams sit together
and plan the sprint. At the end of the sprint retro meeting is called and same people are the
part of this gathering to discuss the pro and cons of the completed sprint. These meetings are
the core of the processes we are trying to follow in order to give boom to the product via
achieving employee’s satisfaction.

The organizations communication happens in person vs. through email or other digital
communication, daily in person communication between teams and management is very
important for understanding daily tasks. For the track of this communication and official
records, Slack is used. So majorly verbal and nonverbal communication both are equally
important.

The leadership team bridge the possible communication gaps caused by having global
locations, there are one of two offices is in Dubai which is recently been established. Due to
the geographical difference and change in time zone we are facing lot of communication
barrier between our management here and in Dubai. To overcome this challenge, we are still
working. Gap is created and communication is becoming difficult for us and Our employees
are now compromising on late sittings.

Communication in Cricingif, I guess this information provided is fair enough and answer all
the quires regarding communication modes and medium used by Cricingif. As our company
is in growing state so we are working hard to improve our communication and Opt new and
friendly methods in order to remove the communication barrier between employees and
employer.

Interpretation of Survey questionnaire


The employee survey was sent to 10 Cricingif employees who had 5 days to complete and
return the survey.

Well informed about the plan and progress of the organization


 40% are well informed
 40% give neutral response
 20% are not
Recommendation

To overcome this issue, the organization should have held a meeting about the plans and the
progress of the organization once in a year or twice in a year.

Well-informed about Slack's plans and progress as it relates to our work group.
 70% are known about Slack.
 30% are not completely know about Slack.

Recommendation
This is the strength of the organization that the majority of employees know about their
communication tool. Those who are not completely know about the Slack, give them a brief
introduction and information about the communication tools of the organization.

Opportunities available to the employees to express their ideas to upper management.


 60% express their ideas to upper management.
 20% does not express their ideas.
 20% express their ideas some time.

Recommendation
This is the weakness of the organization that the employees have not the opportunities
available to them in which they express their ideas to the upper management of the
organization. This thing harms the reputation of the organization. Due to this the turnover of
the employees are increase in future if it is not improved.

There is good communication within their work group.

 20% have just communication with their work group

Recommendation
Good communication within in the group is the strength of the organization that the
employees have the good work relation with each other. If the work relation within the group
is good, it is also good for the organization.

Recommendation
Majority of the employees are agreeing that the organization and the employees itself grow
with learning, share the information with others and generate the innovative ideas for the
beneficial of the organization. Use the modern techniques and tools in the organization.
Good communication between work groups in Cricingif.
 70% have good communication between work groups
 10% have not good communication between work groups
 20% have communication when they need for the work

Recommendation
Good communication is the strength of the organization not only within the work group but
also between the work groups of the organization. If the work relation within the group is
good, it is also good for the organization.

The communication from upper management is honest and complete.


 40% thought that the communication from upper management is honest and complete
 30% will disagree with this statement
 30% thought that some time the communication from upper management is honest
and complete

Recommendation
The organization have to improve the relation between the employees and the upper
management of the organisation. The barrier of communication between the upper
management and the employees harm the reputation of the organization. Turnover rate is
increase if upper management does not listen the ideas of the employees and implement on it.

The information they need to use their talents and abilities well in their current
position.
 50% are agree that they use their talents and abilities in their current position
 20% are disagree that they are not use their talent and abilities in their current position
 30% are use their talents and abilities some time in their current position

Recommendation
To overcome this issue, that the employees are not completely use their talents and abilities in
their current positions. If the upper management listen the ideas of the employees this
problem will solve, majority of the time the employees point of view is right because they
know that this thing will manage in the more efficient way.

In the last 30 days, they have received praise and recognition for their work.

 30% are not received any praise and recognition for their work
 10% are received praise and recognition for some of their work

Recommendation
This is the strength of the organization that they praise and recognise their employees. It
motivates the employees to do the things more efficient way. Organization should arrange the
seminars and trips to motivate the employees because it increase the productivity of the
employees.

 40% are satisfied but not fully satisfied with the amount and quality of

Recommendation
The organization need to improve the amount and the quality of the communication because
it is not affordable by the organization.

 70% are satisfied with the successful future of the organization
 10% are not satisfied with the successful future of the organization
 20% are satisfied with the successful future of the organization but they are not
completely satisfied

Recommendation
The future of the organization is successful.

Areas for improvement


The main area in which the organization is lacking is the relation between the upper
management and the employees. Upper management give the opportunity to the employees to
take decisions. It is beneficial for the organization because it increases the productivity of the
employees. Employees get motivated when the upper management listen the ideas of the
employees and implement on these ideas. It reflects that in the organization the employees
have their values and respect for them.

Conclusion
After communication audit was conducted in Cricingif the findings are that the
company is genuinely concerned for the effectiveness of communication within
the organization. These strengths include an open social environment with the employees and
managers that ensure focus and motivation in the workplace. The main findings highlight
internal issues such as: employees lacking the skill sets that are needed for their respective
jobs, the company’s policies not clear for the employees, not enough meetings held by the
company.
To manage these problems, we have proposed the following key solutions;
 Cricingif should conduct training programs, workshops once every 6 months to ensure
that their employees know what they’re doing. By doing this, employees will be more
efficient and they will benefit the company in the long run. As per that, cost of
training would be less than the potential dent in the profits in sales revenue due to
poor employee training.
 Cricingif should have a handout including the job description as well as the Mission
statement, Vision and Aim. The handout should also outline the policies and a code of
conduct as an employee and/or manager.
 The meetings that company is conducting every now and then, those were only to
deliver the information of the specific happening, in these meetings the higher
management do not take any recommendations from employees, and do not discuss
with them, do not take ask for their preferences and perspectives. So the company
should conduct meetings once every 3 months so that employees can express their
ideas of the company. Thereby increasing their morale and being more productive and
interactive within their workplace.
 Implement IT training to improve computer skills for the lack of information
presented on the official Cricingif website.
