INTODUCTION TO
PROJECT

The “RESTAURENT MANAGEMENT is developed


using Visual Basic 6.0.This project is implemented on any
restaurant system .This system provide the basic information about
the restaurant system and its working. This gives the users
friendly environment to its users. It is easy to understand .It is for
beginner to work with Access and delete, insert and updation of
records.
This application will be scalable and easily
maintained. It could be easily changeable needs of customer, staff
etc. This application will try to imitate the original restaurant
management, but with given limitation of time & man hour
involved, every facility may not be covered. This can be installed
on any computer. This project can make the tedious job of
maintained restaurant management, easier and faster.
Purpose
The need of new project was felt after examining the
drawbacks of old system which was slow and time consuming.
Thus, the various solutions
Were taken into consideration and the most effective computerized
application method was adopted.

LIMITATIONS OF EXISTING SYSTEM

Initially, before coming up of computers, the data
processing activity faced many problems such as inaccuracy, in
consistency, delay, improper record maintenance etc detailed
follows:
1. Inaccuracy:
In the existing system the general records and the whole
information are entered in long register which result is
slow access to desired information, besides the
inaccuracy, which is caused due to manual storage of
data.
2. Inconsistency:
Presently, the system is not aware of data duplication
and replication. They maintain records manually which
results in the total being in access of what it should be,
in such a case, the data is inconsistence, which supplies
incorrect information.
3. Redundancy
In the existing system all the data is stored in different
files and registers, this leads to considerable data
duplication and
Redundancy in stored data, leading to wastage of
storing space
4. Improper record maintenance:

In the existing systems all the records are maintained on
papers, so it become inconvenient to modify data, in
case of manual errors if the number of mistakes is
abnormally high, then whole set of record may have to
be written again, to avoid any possible error occurring
there will be proper maintenance of records.
5. Time and retrieving problem:
Retrieval of information is a time consuming process
because of large volume of data. Thus if it is required to
trace a particular record a large number of registers
need to be scanned.
6. Updating problem:
In the existing systems everything is stored in a number
of registers, it is quite difficult and time consuming to
update all of them. The major problem encountered is
modification, which must be reflected in all the
enteries.The summaries also needs to be update.
7. Storage Problem:
The volume of data is large, so it required much space to
store it. Everything is stored in registers. This storage can
be damaged with time and due to accidental factors.

Functional Requirement

This project “HOTEL MANAGEMENT” covers most of the


advancements of the computer technology that is how data is managed
with the help of modern computer technology environment.

INTRODUCTION
TO COMPUTER
The impact of computers on our lives today is probably much
more than we are actually aware of Airlines, railways reservation,
telephone and electricity bills, banking, medical diagnosis, weather
forecast etc are some of the notable fields but the list of services using
computers is simply endless.
Computers today help in management of many industrial,
business and personal systems. They can store and maintain huge
amount of data, which is major requirement of above stated
applications, Data is vital element of any system and hence the
management of data is essential for effective retrieval of information
(for example: - tables) and provision for the mechanism for the
manipulation of the information (i.e. Create, modify, delete and add
data).
Effective retrieval of data can save a lot of precious time and
hence increase the productivity of the employee concerned and the
organization as a whole. Not only have that, through proper
organization and management of its contacts and other resources an
organization can move forward on the progress graphed of time with
full throttle.

Initial Study:-
It is the first stage of system development life cycle
to development life cycle to development a program and it is based
on the user requirement. The programmer will check the
background of the problems to see If it is possible to solve
them then it will produce feasibility report this report describes
scope of the new system and estimates of time, cost, and benefits.
System analysis & design:
It is a second stage of development of program and it is based on
feasibility report. The programmer will use documentation tools
like flow charts.
Program design:
It is a third stage of development of program. The programmer use
flow charts to make a program design.

Development:
When the design is completed the development stage begins to
convert the design into workable solution.
Testing:
After development is completed testing will be
necessary. Test will be carried out according to the schedule
prepared by the programmer. If the problem arises in program it
Can be rectifying in the testing stage.
Implementation:
After the testing of a program implementation stage
begins. In the stage includes the installation of the hardware before
the system handle over user.
Live running and maintenance:
It is stage in which changes may be in the user requirement which
have not been included in the first place due to misunderstanding
between the user and the programmer.

PROJECT ANALYSIS
Analysis is detailed study of various operation performed by the
system and their relationship within and outside the system. Outside
factor also plays major role in the system like government, vendors,

customers etc. A key question is what must be done to solve the
problem? One aspect of the analysis is defining the boundaries of the
system and determining whether or not a candidate system should
consider other related systems.
During analysis, data are collected on available files, decision
points and transaction handled by the present system. There are many
tools, which are available to do the analysis part like interview,
questionnaire, fact analysis and review of written documents after all
these tools flow charts or decision tables are built which clearly shows
the problem. The interview is a commonly used tool in analysis. The
analysis require special skill to the subject being interview and the way
in which interview is taken. Bias in data collection and interpretation
can be a problem. Training, experience and common sense are required
for collection of the information needed to do the analysis .With the
corporation and satisfaction of the user staff analysis part can be
successfully taken. In analysis, we design the system logically that is how
the system will look like, after the analysis part we move from logical
system to physical system that is how actually the system will be. So
after analysis that is logical there is a physical part called design that is
very important stage in system development life cycle.
Once analysis is completed, the analyst has a firm understanding
of what is to be done. The next step is to decide how the problem might
be solved. Thus, in system design, we move from the logical to the
physical aspects of the life cycle.

SYSTEM ANALYSIS

Before we start studying the system we are to known with the term
system. What is system? The term system is derived from the Greek
word system a, which means an organized relationship among
functioning units or components. A system exists because it is designed
to achieve one or more objective.
The term system refers to an orderly grouping of interdependent
components linked together according to a plan to achieve a specific
objective. The idea of system becomes most practical and necessary in
conceptualizing the interrelationship and integration of operations
especially when using computers. Thus, a system is a way of thinking of
organizations and their problems. It involves a set of techniques that
helps in solving the problems. A system has many elements these are
input and output processors, control, feedback, environment, boundary
and interface. System takes input from outside and gives output to
outside. So practically system is an open system that interacts with the
environment.

A study of system concept has three basic implications:


A system must be designed to achieve a predetermined objective.
Interrelationship and interdependence must exist among the
component.
The objective of the organization as a whole has higher priority than the
objective of its sub system for example computerizing personal
applications must conform to the organization policy on privacy,
confidentiality and security, as well as making selective data (pay
roll) available to the accounting division on request.

In the present study, a system is an integrated collection of programs
and data files. The combination of all these programs and databases
made this system. The process of designing a system is not done in one
phase. It consists of many phases can be seen comprising of four phases:

INITIAL INVESTIGATION:

This is the first step in system development life cycle. For making a
project, it is very important to understand the overall working of the
system. To know about the overall working of the system initial
investigation is carried out. Initial investigation helps to identify the
need. To make a candidate system request is given by the user either to
change the system, improve or enhance the existing or to make the new
system. Requests are coming because of limitation in the present system
or here may not system available. In our case, there is no running
software. For giving response to user request, standard procedure must
be established to deal with them.
So this project is based on “HOTAL MANAGEMENT SYSTEM”
to handle all the procedure how the information about the
members/non-members, their booking, cancellation, extension etc is
handled using the computer. And the management of systems is done.
For example while maintaining the booking, cancellation,
extension of systems in the school manually, it becomes a cumbersome
process as it takes a lot of time to evaluate whether the system is booked

or free and in case if system is booked, it is required to differentiate that
whether the user using a particular system is member or non member in
the school. Also it takes lot of time to calculate the booking time of each
system. Where as in our case using this software it would be very easy to
calculate information about the system booked for a particular time
span.
As system analysts, we asked the user what information is
currently available and what other information is required. This
interaction leads to an
Agreement about what information will be provided by the candidate
system? However, as human has problem in specifying information
requirements. Mostly users cannot give his full requirements that user
want from the candidate system. So the following difficulty arises.

1) User who is being interviewed have a limited number of requirement,


that he defines as important but We can be useless for other user .he
or she may selectively emphasized few items of information and
recorded as long term memory as being the most important.

2) Users are influenced more by recent events than by the past events.
Thus an information need that was discovered tends to carry greater
weigh than a need experienced in the distant past. This is called regency
effect.

INFORMATION GATHERING:

After defining the problem, the next step in the system analysis is to
gather information. Information gathering is an art and science. The
approach and manner in which information is gathered require persons
with sensitivity, commonsense and knowledge of what and when to
gather and what channels to use in securing information. This means
that information getting is neither easy nor routine. Much preparation,
experience and training are required. Before one determines where to
go for information or what tool to use, the first requirement is to figure
out what information to gather. The approach and the manner in which
the information is gathered require a person with sensitivity, skill and
common sense of the following: -
1) Purpose of gathering information
2) What and when to gather
3) Source of information
4) What channel to use in securing the information

FEASIBILITY STUDY

Many feasibility studies are disillusioning for both user and
analysts. First the study often presupposes that when the feasibility
document is prepared, the analysts are in position to evaluate solutions.
Second most studies tend to overlook, the confusion inherent in system
development the constraints and the assumed attitudes. If the feasibility
study is to serve a decision document it must answer three questions.
1. Is there a new and better way to do job that will benefit the user?
2. What are the costs and savings of the alternatives?
3. What is recommended?

The most successful system projects are not necessarily the


biggest or the most visible in the business but rather that truly meet
user expectations.

Feasibility Considrations:

There are three essential considerations that are involved in the


feasibility analysis.
1) Technical Feasibility
2) Economical Feasibility
3) Behavioral Feasibility

Technical Feasibility:
Technical feasibility centers on the existing computer system (hardware,
software etc) and to what extent it can support the proposed edition. For
example, if the current system ids operating 80% capacity –and
arbitrary ceiling – then running another application could overload the
system or required additional hardware. This involves financial
consideration to accommodate technical enhancements. If the budget is
a serious constraint, then the project is judged not feasible. The
proposed system was found to be technically feasible in all aspects.

Economical Feasibility:
Economic analysis is the most frequently used method for evaluating
the effectiveness of the candidate system. More commonly known as
COST/BENEFIT analysis. The procedure is to determine the benefits
and compare them with costs. If the benefits outweigh the cost then the
decision is made to design and implement the system. Otherwise,
further justification or alternation in the purposed system will have to
be made if it is to have chance of being approved.

Behavioral Feasibility:

People are inherently resistant to change and computers have been


known to facilitate change. An estimate should be made of how strong a
reaction the user staff is likely to have toward the development of the

computerized system. It is common knowledge that computer
installations have something to do within turnover, transfers, refraining
and change in the employee job status. Therefore, it is understandable
that the introduction of candidate system requires special effort to
educate, sell, and train the staff on the new ways of conducting business.
Feasibility study involves eight steps Form a project team and appoint a
project leader. Prepare system flow charts. Enumerate potential
candidate system. Describe and identify characteristics of the candidate
system. Determine and evaluate performance and cost effectiveness of
each candidate system.

PROJECT DESIGN

The most creative and challenging of the system life cycle is system
design. The term design describes the final system and the process by
which it is developed. It refers to the technical specifications that will be
applied to implement the candidate system. It also includes the
construction of programs and program testing. The key question is
here: how should the problem is solved.
System design is a solution, a “how to” approach to the creation of
a new system. The term design describes a final system and the process
by which it is developed. It provides the understanding and procedural
details necessary for implementing the system recommended in the
feasibility study. Emphasis on translating the performance requirement
into design specifications. Design goes through both logical and physical
stages of development. Logical design reviews the present physical
system, prepares input and output specification, and makes edit security
and control specifications. The physical design maps out the details of
the physical system, plans the system implementation, devises a test and
implementation plan, and specifies any new hardware and software.
Design includes the construction of programs and program testing. The
first step is to determined how the output is to be produced and in what
format.

Second input data and master files (data bases) have to be design
to meets the requirement of the proposed output. The operational
phases are handled through program construction and testing,
including a list of program needed to meet the system’s objective and
complete documentation. The final report prior to the implementation
phase includes procedural flow charts, record lay out and workable
plan for implementing the candidate system. Information is personnel,
money, hardware, facilities, and their estimated cost must also be
available. At this point, projected cost must be close to actual costs of
implementation. In design phase forms are formed for ideal computer
output and databases are designed. Databases are consisting of files,
files consist of records, records consist of data items and data items are
consist of bytes. Database administrator does this job.
System design is a solution, a how to approach to the creation of a
new system. This important phase is composed of several Steps. It
provides the understanding and procedural details necessary for
implementing the system recommended in the feasibility study. Stress is
on translating performance requirements into design specification.
Design goes through logical physical stages of development. Logical
design reviews the present physical, prepares input and output
specifications.
A schematic ways has to follow to achieve beneficial results at the end
.it involves starting with a vague idea and ultimating starting with a new
system the d design phase is transitioned from user oriented to a
programmer database personal. Various steps are involved in system
design. These steps are as follows: -
1) Problem definition.

2) Input – output specification.
3) Database design.
4) Modular program design.
5) Preparation of source code.
6) Testing and debugging.

Process of design: -

The system design goes through two phases of development:

Logical and physical design, Data flow diagram shows the logical flow of
the system. It basically described the input of the system, the database
used and the procedure depicting the flow of data, all in a format that is
understandable to the user. The design covers the following:

1) Review the current physical system and its dataflow. File contents
volumes, frequencies.
2) Prepare output specification: that is determining the format,
contents and frequencies of reports, including terminal specifications
and locations.
3) Prepare input specifications: that is format, contents and the most of
the input function.
4) Prepare edit, control and security specification, which includes
specifying the back procedure, and controls that ensures file
integrity.

INPUT DESIGN

Inaccurate input data are the most common cause of errors in data
processing. Errors entered by data entry operators can be controlled by
input design. Input design is a process of converting user-originated
input to a computer based format. Input data are collected and
organized into groups of similar data. Once identified, appropriate
input media is selected for processing.

Input data
The goal of designing the input data is to make data entry easy as well
as free from errors as possible. In entering data, operators needs to
know
The following: -
1. The space allocated to each field.
2. Field sequence, which must match that in source document.
3. The format in which data fields are entered.

When we approach input data design, we design the source document


that capture the data and then select the media used to enter them into
the computer.

Source document:
Source data are captured initially on original paper or source document.
Source data are originally on paper, which is called source document.
Source document may be entered into the system from punched cards,
from diskettes or even from keyboard. A source document may or may
not be retained in the candidate system. Thus, each source document
may be evaluated in terms of
1) Its continued use in the candidate system

2) The extent of modification for the candidate system.
3) Replacement by an alternative source document.

OUTPUT DESIGN
Output is the most important and the direct
source of information to the user Efficient, intelligible design includes
system credibility and helps user in decision-making. Efficient
intelligible output design should improve the system relation ship with
the user and help in decision-making. A major form of output is a hard
copy from the printer. Printouts should be designed around the output
requirements of the user. The output devices to consider depends on the
factors

ns
1. This project requires a programmer, costly hardware and
more data security options are to be applied.
2. The database can be easily trapped if the data base is not
secure under the control of DBA.
3. Centralized control is must.
4. It may require 6 more months for analysis, design and
implementation.
5. The project may be rejected after implementation - if it is
not correctly analyzed and designed I.e. user requirement
is not clearly defined.
6. If it is used properly, it can give accurate results with
speedy process.
