CHAPTER1:GENERALREQUIREMENTSOFREPORT

1.1 Introduction

ThisguideisdesignedtohelpengineeringundergraduatesfromSwinburneUniversityof
TechnologySarawakCampusinthepreparationoftheirresearchprojectreport.Itdeals
onlywiththeformatofthereportandsomewritingconventions.Itistheresponsibilityof
eachundergraduatetoensurethatthereportconformstotheguidelinesetoutbelow.
Furtherinformationorclarificationregardingtheguidelinecanbeobtainedfromtheunit
convener.

1.2 Language

ThereportshouldbewritteninstandardBritishEnglishwithconsistencyintheuseofthe
languagethroughoutthereport.

1.3 ReportSubmission

Undergraduates intending to submit their report should comply with the following
procedures:

i. Undergraduatemustsubmittwo(2)hardcopies(normalcombbinding)ofreport
onorbeforetheduedatetotheunitconvenerformarkingandcheckingtoensure
thatformatofthereportiscorrect.

ii. For the final submission (FYRP2), the undergraduate will have to submit the
followingonorbeforetheduedate.Totheunitconvenorone(1)hardcopyofthe
report (in loose sheet) for hard binding and its softcopy (submission on
Blackboard).One(1)CDcontainingallthedocumentoftheproject(researchplan
andstrategy,literatures,literaturereview,presentationslides,poster,finalreport,
models, raw data, analysis of data, etc.) must be submitted to the project
supervisor.

iii. Any other copies for a sponsor, company or industry supervisor should be
providedbythestudents

vi. Copyright in text of this report rests with the author. Copies (by any processes)
either in full, or in abstracts, may only be made in accordance with instructions
given by the author and library of Swinburne University of Technology Sarawak
Campus. Further copies (by any processes) of copies made in accordance with
suchinstructionsmaynotbemadewithoutpermission(inwriting)oftheauthor.

vii. The ownership of any intellectual property rights which maybe described in this

1.4 FormatofReport

1.4.1 TypefaceandFontSize

ReportmustbetypedusingTimes RomanorTimesNewRomanwithstandardfontsize
12pointbasedon1.5spacing,withprintingdoneonalaserprinter.

Thefontsizeshouldnotbescriptedoritalicisedexceptforscientificnamesortermsina
differentlanguage.Boldprintshouldbeusedforheadings.Footnotesandtextintables
shouldnotbelessthan8point.

1.4.2 Margins

Theleft,right,topandbottommarginsshouldbe2.5cmwide.Headerandfooterare
set 1.27 cm from edge. Margin specifications are meant to facilitate binding and
trimming.

1.4.3 Spacing

Thereportshouldbetyped1.5spacesandonespacesbetweenparagraphsandsections.
Thefollowing,however,shouldbesinglespaced:

i. Explanatoryfootnotes;
ii. LongQuotations;
iii. Referencesorbibliography;
iv. Multilinecaptions;
v. Appendices;and
vi. Headingsorsubheadings.

1.4.4 Pagination

All pages should be numbered centrally flushed the bottom margin. Page numbers
should appear by themselves and should not be placed in brackets, hyphenated or
accompaniedbyotherdecorativedevices.Printtextorfiguresononlyonesideofeach
sheet. Only the original wordprocessed copy of a report or its good and clean
photocopieswillbeaccepted.
Forthepagination:

Preliminary pages preceding Chapter 1 must be numbered in lower case Roman


numerals(i,ii,iii).TheCoverPageshouldnotbenumberedthoughitiscountedaspage
i.

BeginningwiththefirstpageofChapter1,pagesshouldbenumberedconsecutivelyusing
Arabicnumerals.

1.4.5 Paper

White, good quality paper (80g) should be used for hardcopies of the report. Paper
shouldbeofA4size(210mmx297mm)exceptforfoldedillustrativematerialsuchas
diagrams,mapsandprintoutsonwhichtherearenorestrictions.

1.4.6 Binding

Areportforthefinalsubmission(FYRP2)mustbepermanentlybound. ABuckramtype
hardcoverwillbeused.Allcopiesshouldbecheckedcarefullytoensurethatallpagesare
incorrectorder.

1.4.7 PageLayout

ThetextshouldbewritteninPortraitlayout.LandscapelayoutmaybeusedforFigures
andTables.

CHAPTER2:ARRANGEMENTOFREPORTCONTENT

Areportgenerallyconsistsofthreemainparts:thepreliminarypages;thetextormain
body,usuallydividedintochaptersandsections;andtheendingpages.

The preliminary part includes the cover page, dedication, abstracts, acknowledgements,
approval sheets, declaration form, table of contents, list of tables, figures, and
abbreviations.

Theendingpagesconsistofbibliographyorreferences,andappendices(ifany).

Thefollowingisanexampleofhowvariouspagesinareport,frompreliminarytoending
pages,arearranged.Werecommendthatthissequencebeusedasaguide,althoughnot
everyreportincludesalltheitemslistedbelow:

2.1 CoverPage

Thispageshouldincludethefollowing(RefertoAppendixA):

i. Fulltitleofreport(inuppercase);
ii. Degreeforwhichthereportissubmitted;
iii. Universityslogo;
iv. Fullnameofauthor(inlowercase);and
v. Yearofsubmission.

The title should describe the content of the report accurately and concisely, normally
omitting words such as An Investigation..., An Analysis..., or A Study... which are
redundant, all theses are investigations, analyses, and studies of one kind or another. It
shouldbetypedsinglespaced.

2.2 DeclarationForm

Thedeclarationformshouldreadasfollows:

2.4 Abstract

Theabstractisadigestoftheentirereportandshouldbegiventhesamecarefulattention
asthemaintext.

Abstractshouldnotexceed400wordsoronepage.Itincludesabriefstatementofthe
problem; a concise description of the research method and design; summary of major
findings, including the significance or lack of it; and conclusions, all not more exceeding
onepage.

2.5 TableofContents

The Table of Contents lists in sequence, with corresponding page numbers, all relevant
subdivisionsofthereport.

Allheadingsinclusiveofmajorandsubheadingsareleftjustified.(maximum3levelsfor
theheadings).Allchapters,sectionsandsubsectionsmaybenumberedaccordingly.

2.6 ListofTables

Thislistshowstheexacttitlesorcaptionsofalltablesinthetextandappendices,together
withthebegrimingpagenumberofeachtable.

2.7 ListofFigures

This includes graphs, maps, charts, engineering drawings, photographs, sketches and
printedimages.Theexacttitleorcaptionanditscorrespondingpagenumberarelisted.
Figuresshouldbenumberedconsecutivelythroughoutthereport,includingthoseinthe
appendices.

2.8 ListofAbbreviations/Symbols/Nomenclature

This is optional, depending on the subject of the report. All scientific symbols and
nomenclatureshouldfollowthestandardSIsystem.

2.9 TextofReport

2.9.1 BodyofReport

The body of a report normally consists of the following sections. These can either be
organised as separate chapters or be included as subheadings in a chapter or various
chapters.

Introduction: The introductory chapter introduces the problem and indicates its
importance and validity. It sets forth the context, the hypotheses to be tested, and the
researchobjectivestobeattained.

LiteratureReview:Itisacriticalreviewofliteraturerelatedtothetopicofthereport.Itis
meant to act as a base for the experimental/analytical section of the report. Literature
selectedmustbeuptodate,analysedandsynthesizedlogically.Itisnotameresummary
ofworksofdifferentauthors.

Methodology:Thischapterorsectiondescribesthemethodsandtechniquesused.Itmay
alsocontainvalidationofmethodsused.Allrelevantexperimental,descriptive,theoretical
and analytical techniques used in the research should be outlined, such that the study
couldberepeatedbyanotherresearcher.Referenceofmethodstootherresearchshould
bemadewhereappropriate.

Results:Thischapterorsectionpresentsacompleteaccountofresultsandanalysesofthe
study in the form of figures, tables or text so that the key information is highlighted.
ResultsandDiscussionmayconsistofmorethanonechapterdependingonthenumberof
experimentalworkand/orparametricstudiesconducted.EachchapteronResultsshould
containdiscussion.

Discussion:Itdiscussestheresultsofthestudyinrelationtothehypotheses.Ithighlights
the main findings, their significance and implications. Conclusion and recommendations
may be presented here or under a separate chapter. A separate chapter for Discussion
maybenecessarytogiveanoveralldiscussionofthefindingsleadingtoaconclusion.

Conclusion and Recommendation for Future Works: Summary highlights the findings of
thestudyuponwhichaconclusionisdrawninlinewiththeobjectivesset.

2.9.2 Tables

Tablesarenumberedbychapter,e.g.Table1.1,1.2,1.3, 2.1,2.2andsoon throughout


the report (including text and appendices). All tables are to be listed under LIST OF
TABLES in the preliminary pages (including tables appearing in the appendices). Tables
shouldbeplacedaftertheirfirstmentioninthetext.

Table number, title and caption are typed singlespaced, justify and placed above the
table.Thereshouldbeconsistencyinthestyleused.Tablesourcesandnotesshouldbe
placedaspartofthecaptionafterthetitle.

2.9.3 Figures

Figures include maps, charts, graphs, diagrams, photographs, engineering drawings and
printed images. Each of these categories is numbered according to the chapter
throughoutthereport,includingthoseinappendices.Thefigurenumber,titleandcaption
shouldbetypedsinglespaced,justifyandplacedbelowthefigureusingArabicnumeral
andlowercase,exceptforpropernounsandfirstlettersofprincipalwords.Figuresshould
beinsertedaftertheirfirstmentioninthetext.

Ifafigureoccupiesanentirepage,thecaptionmaybetypedonthelefthandfacingpage
(reversesideblank),whichiscountedbutnotpaginated.Arighthandpageinlandscape
formatshouldhavethetopofthefigureatthebindingedge.Thefigurenumbershouldbe
typed parallel to the way the figure reads. The page number is typed in standard text
position.Figuresshouldconformtostandardmarginrequirements.EngineeringDrawings
shouldfollowtheappropriateStandardsandlargesizedrawingsshouldbeplacedinthe
appendix.

2.9.4 ChapterLayout

A chapter consist of its major titles (Heading 1, example, Chapter 1: Introduction) and
subheading(Heading2and3).Thesubheadingofachaptermaybeidentifiedbynumbers.
Heading1isnumberedfirstlevel(e.g.1,2,3)andsubheadingislevelnumbered(e.g.1.1,
1.1.1,1.2.3).Thisshouldbeconsistentthroughoutthereportandtobelimitedto3levels.

2.9.5 HeaderandFooter

Header should consist the Chapter number (left align) and title (right align). Header
shouldbeitalicsandfontsize10.

2.9.6 Equations

All equations, mathematical and/or chemical, are considered as text and numbered
accordingtothechapter.Detailedderivationifsuitableshallbeplacedintheappendix.

2.9.7 Footnotes

Footnotesshouldbeusedsparinglyinareportregardlessoffieldofstudy.Theyshouldbe
usedonlytoclarifyacertainterm,tostateconversionfactorsorexchangeratesandnot
to cite authority for specific statements or research findings. Citations of authority are
done in the text as described in the following section. Extensive footnoting tends to
distract the reader from the main argument of the text. If footnotes are necessary, the
indicators (the reference numbers in the text) are usually superscript (e.g. 1, 2, 3). The
numberingoffootnotesshouldbeginwith1andmustbecontinuouswithineachchapter
orappendix,andnotthroughoutthewholetext.

2.9.8 CitationsandReferences

Citation, intext references, references lists and bibliographies to follow Swinburne


Harvard AuthorDate System. A copy can be obtained from the Information Resource
Department.

2.9.9 Appendices

An appendix or appendices, if any, are placed after the reference list. Details of the
appendicesarelistedbytypeintheTableofContents.Appendicesincludeoriginaldata,
summary, sideline or preliminary tests, tabulations, tables that contain data of lesser
importance, very lengthy quotations, supporting decisions, forms and documents,
computerprintouts,detailedengineeringdrawingsandotherpertinentdocuments.

CHAPTER3:WRITINGCONVENTIONS

3.1 UnitsofMeasure

Useinternationallyrecognisedunitsofmeasure,preferablySI,suchas:

1litre(1L)
20millilitres(20mL)
5kilogram(5kg)
20kilometre(20km)
2.5hectare(2.5ha)
3.7metrictonnes(3.7t)

Thenumbersbeforethemeasurementunitsshouldnotbespeltout,e.g.suchas5kg,not
five kg even if they are below 10 (see Section 3.2), unless they are the first word of
sentences.

3.2 Numbers

Allintegerslessthantenshouldbespeltoutunlesstheyareattachedtounitsofmeasure
(e.g.5kg,10mL).Usefiguresfornumbers10ormorethan10.Ifasentencebeginswitha
number, write the number in words, e.g. Three hundred and eighty five farmers were
sampledfromthestudyarea.

Usenumeralsforaseriesoffigures,forexample:

i. In the room there were 4 chairs, 12 boxes, 13 books, 10 files, 9 umbrellas and 8
pairsofshoes.
ii. Thenumberoftaxipermitsissuedduringthepastfiveyearswas8,53,27,38,52,
and90.

3.3 EllipticalMark

Writers use the ellipsis mark to show an omission from quoted material. The ellipsis
consistsofthreespacedfullstops(...).Whenanellipsisfollowsasentence,itappearsas
four full stops (....). One full stop marks the end of the sentence and the other three
signalstheomission.Forexample:

Kamariah(1984:3)wroteabouttheconference:

The conference at Kuala Lumpur ... agreed that the world educational crisis sketched in
thedocumentwasreal....

3.4 UseofBrackets[]

Within directquotations, bracketsare usedto encloseanyexplanatorynote insertedby


thereportwriter,e.g.

Thisyear[1999]alone,wehad threehundredapplicantswanting tojoinourmotivation


camp(Razali1999).

Learnersshouldusesicwithinbrackets[sic]toindicateacertaindoubtastomeaningor
factual error. It is used in quotations to show that the original is being faithfully
reproduced even though it is incorrect or seems to be so. Errors, which are obviously
typographical,shouldbecorrectedasamatterofprofessionalcourtesy.

3.5 UseofSymbolforPercentage

Thesymbol%maybeusedinplaceofthewordpercent,e.g.14.2%andtypedwithouta
space. If the candidate prefers to write 14.2 percent in full, then consistency should be
maintainedthroughout.Intables,theabbreviationPctmaybeusedattheheadofatable
columntomeanpercent.

3.6 UseofaQuotation,ReferencinginaTextandPlagiarism

Quotingmeansusingtheexactsamewordsastheoriginalauthor.HarvardReferencing
hasbeenadoptedasthemeansofreferencingorquotingworksfromotherauthors.More
information can be obtained from avoiding plagiarism and how to use Harvard
Referencingcanbeobtainedfromthelibrary.
