Job Announcement: Office Manager
July 2, 2014

D.C. Law Students in Court invites applications for a full-time Office Manager to begin immediately. The Office
Manager is the primary point of contact for the organization and manages the day-to-day operations of an office
of 12 staff and 45 students that serve thousands of low-income District residents each year in our legal clinical
program. In addition to office management experience, the successful candidate is someone who has a
commitment to outstanding customer service and who is enthusiastic, hard-working, and has an interest in the
clinical teaching and client services mission of LSIC.

About D.C. Law Students in Court:

Created in 1968, LSIC is the oldest and one of the most highly regarded clinical programs in the city. LSIC is a
nonprofit public interest legal services organization and clinical education program that draws students from area
law schools in Washington, DC. For 46 years, LSIC has mentored third-year law students to provide legal
services to the Districts low-income community. Our mission is to break the cycle of poverty, attack injustice,
and inspire the next generation of lawyers.

Duties and Responsibilities:
Office Administration
Answer phone and greet visitors
Order and organize office supplies and equipment
Sort and scan incoming legal mail, bills, and client correspondence
Work closely with supervising attorneys and students to update office procedure manuals
Act as IT liaison to address any day-to-day office issues (network, printing, faxing, emails, telephone
system, Case Management System)
Ensure that all required government registrations, licenses, or other approvals are current
Act as liaison between Executive Director and outside stakeholders
Assist Executive Director in prioritizing daily/weekly schedule
Pull monthly reports from the legal case management system
Record and maintain staff meeting minutes
Provide logistical support for student orientation and school year classes, including keeping a master class
schedule, reserving meeting space, and ensuring that meeting space has appropriate equipment, IT access,
etc.
Update and maintain single master set of all office forms and stationary
Create master student lists that include contact information, log-in names and passwords for all office
applications, and key card tracking numbers

Student and Alumni Outreach

Provide administrative and logistical support for student classes, including scheduling, meeting space
logistics, manual assembly, and on-going contact with students to ensure efficient transition into LSIC
Maintain lists of student bar admissions, monitors process, and provide regular reports to supervisors
Develop and maintain civil student brief legal services schedule to ensure necessary coverage and distribute
schedule to supervisors and Executive Director
Recruit, train, and supervise LSICs professional internship program
Assist with planning and organizing of alumni and student events
Coordinate and administer student evaluations
Track student practice certifications
Assist students with logistical and office procedure questions
Assist with special events, direct mail campaigns, and other fundraising related activities

Human Resources

Manage human resources functions including new hire and exit interviewing, employee benefits, working
with vendors including insurance brokers
Uphold confidential documents, conversations and human resource records
Process of bi-monthly payroll administration
Ensure timely compensation of employees and administration and tracking of leave, distributing direct
deposit documentation
Train new staff in office procedure, culture, and values
Assist in the administration of benefits programs such as health and dental insurance, vacation and personal
leave
Participate in administrative staff meetings and attends other meetings as required
Manage employee benefits through ongoing assessment of employee needs and vendor offerings
Maintain employee files according to local and federal requirements
Develop and carries out staff recruitment strategies and manages hiring process
Manage H.R. processes that accompany employee transitions, verification requests, and benefits

Paralegal Support

Act as a liaison between staff attorneys and outside legal services agencies for client referrals
Assist with litigation preparation, including creating trial exhibits, copying, serving, , filing motions, and
serving discovery responses
Assist students and attorneys with filing documents and scanning documents into the case management
database
Organize, track, and maintain closed files, and consult with supervisors to clear dated files for destruction
Work with supervisors to organize and maintain law library and order supplements and updates
Organize and ensure that students legal forms are organized and available to students


Qualification Requirements:

Education: Bachelors degree strongly preferred or equivalent combination of education and experience in
nonprofit management.
Spanish language fluency (preferred)
2-3 years of experience of office management experience (preferred)
Excellent written and oral communication skills
Outstanding interpersonal skills
Hard-working and detail-oriented with problem-solving, organizational, and time-management skills
Strong ability to plan and prioritize tasks and follow through independently
Competency in Microsoft Office (Word, Excel, PowerPoint) and database management (experience with
DonorPerfect is a plus)
Must be a team player and willing to perform other duties as assigned
Able to work nights and weekends as necessary
Demonstrated understanding of LSICs work and passion for our mission

Accountability: Reports to the Executive Director

Hours and Salary: This is a full-time position based on a 37.5 hour work week. Salary will be commensurate
with experience.
