Consolidation Methods
Consolidation: - Further to the realtime update already explained earlier, we have tried to bring out the flexible upload method of updating EC-CS. It is used for either direct manual data entry into the consolidation units or collects the data and transfer by means of a data entry layout assigned to the consolidation units. This document covers only the collection of Normal Financial data using the flexible upload method of update. Also we have attempted only Company consolidation. Periodic extract

You can use this method for integrated data collection if one or more units keep their financial data in any SAP system. The data collection takes place with an extract from the consolidation staging ledger ((stored in ledger 9). Restriction: You cannot use this method for profit center consolidation. In addition you cannot copy the functional area, as this field is not contained in the totals table of the consolidation-staging ledger. With this data collection method, you can transfer the reported financial data from any ledger into Consolidation. Note: You can transfer the reported financial data for integrated profit center consolidation per rollup from the profit center ledger.

Rollup

Options with FI data from non SAP Systems / SAP system Offline data entry, flexible upload If the financial data is on an non SAP system and has to be uploaded into EC-CS Get the Consolidation FS item in a File and upload it into EC-CS. This method allows you to run data collection for a single unit as well as an entire group. Its sort of a direct entry into the CS of the FS item wise totals and other data. Perhaps you could write a BDC to push data in.

Online data entry

Manual data entry using data entry layouts is available for any consolidation scenario.

Master Data Organisation units, Chart of Accounts, FS items


This has already been dealt with in Realtime update. This has been given here for clarity purposes and just recollection. There is to clear assignment of the organisational units in SAP R/3 FI and in EC-CS.

1.1

Organisation units

1.1.1 Company Code in FI

Create the following Company Codes in SAP R/3 FI

Chart of Accounts.
Group Chart of accounts Assigned to the Transaction Chart of account (Tcode OB13) The GL accounts of the Group chart of accounts is assigned to the Master data of the Transaction Chart of accounts (T Code FS01) Consolidation Chart of Accounts The consolidation chart of account is assigned to the Transaction Chart of accounts (Tcode CXNF) The FS item number in Consolidation chart of accounts is the same as the number of the Group Chart of accounts GL account

You have three Chart of Accounts in operation here Transaction Chart of Accounts Assigned to the Company code (T Code OB62) GL Account

1.2.1 Create a Transaction COA and the GL accounts for the company code

(T Code OB13, OBY7). We have used an existing COA: INT and CAUS
1.2.2 Assign the Transaction COA to the Company Code

1.3.1 GL account master data creation for Transaction COA & the Company Codes

T Code FSP1. Or You can create the Group COA (CONS) from the consolidation chart of account (Z1) in ECCS if the Consolidation chart of account has been drawn up. These two need to be in Sync for data to flow through

1.3.3 Assign the Group GL account in the Transaction GL account

In the GL Account master data you enter the Group GL account in the Group account number field

1.3.4 Create the FS items for the Consolidation Chart of account

Note: The FS item number in Consolidation chart of accounts should be same as the number of the Group Chart of accounts GL account. i.e. Group GL account 110100 in Consolidation COA (CONS) is FS item 110100 in Consolidation COA . See step 1.8 to create the FS item

Dimension

This is used to represent each type of consolidation; for e.g. company consolidation, business area consolidation etc. It defines corporate structure as a hierarchy of consolidation units and consolidation groups.

The field length of the consolidation unit and group are defined. Also the screen selection is defined.

Ledgers

Transactions are stored Ledger wise in EC-CS. A ledger represents transaction figures & documents and changes resulting therein from accounting documents.

Observations: Unless you tick the Write line items Real time entries will not be generated. The currency maintained here represents the consolidation group assigned to this ledger report their financial data. This is automatically pulled up when defining the group.

1.6 Creating the Consolidation group and the Consolidation unit


1.6.1 Consolidation Group

This represents a grouping of consolidation units for the purpose of consolidation and reporting.

Create the top most node: Z2 Consolidation Test Create the Consolidation Group: ZCGIA1 and ZCGIA2 A hierarchy is formed for reporting.

Assign the Consolidation Ledger to the group. The currency dictated by the ledger currency. So if you require a separate currency for another consolidation group then you will have to create a different ledger with a different currency. contd..

Tax rates are maintained and currency translation methods are defined. Translation methods are used for Currency translations between local currency to Group currency. This will be used during final consolidation (not required at the moment for this e.g.)

The period for which the consolidation is valid is maintained with a consolidation group and unit assignment.
1.6.2 Creating the Consolidation units

A Consolidation unit is the smallest element in the hierarchical corporate structure on the basis of which the consolidation is performed. It can be represented by company, or business area or profit center. . You can create the consolidation units by clicking on the Push Button Companies The list of Companies Created in Enterprise structure is displayed here. Select the companies for the consolidation group.

Observation: The number of characters selected is dependent on the Derivation rule The consolidation unit is derived from the key of the FI company and the derivation rule you specify (Consolidation-----Integration: Preparation for Consolidation -----Preparation in the EC-CS

Say the Company is ZCOEU1. If in the ID rule you specify 5 then in the hierarchy only ZCOEU will be displayed. If you want ZCOEU1 then you have to specify 6. The following table explains the derivation of the Consolidation unit from the derivation rule.

The following needs to be defined in the consolidation unit

Financial data type: For determining the layout during online entry of data. Not required for this example Tax rate: Used during final consolidation.

Observation: The method of update (Flexible upload) in consolidation is maintained here along with the type of consolidation. Unless this is maintained no data will flow to EC-CS from FI.

Logical File Name

This is used for defining the storage area and path for data upload using the flexible upload method. Enterprise Controlling-----Consolidation-----Master Data-----Organisational units----Consolidation units-----Define a logical file name

Consolidation chart of accounts

This is classification of FS items based on the requirements for either legal requirements or internal reporting requirements. There could be multiple chart of accounts within a single dimension.

We have created Z1 as the Consolidation Chart of accounts. (Copied from 01 Consolidation chart of accounts)

Hierarchy of FS items is formed for consolidation purposes. FS item master data: -

Observation Break Down category: This is to have a further break up of the FS item based on some categorisation - say regions, Functional areas, Type of transaction etc. For E.g. In the case of Assets the following applies

The Sub item category is assigned to the Break Down category. The sub item could be a) Transaction type: Assigned to assets for which transactions can be identified by the transaction type Acquisition, retirement etc. b) Regions: If you want to have sales by region then you assign this sub item type to the Sales FS item.

Data Collection
3.1. Data collection for manual data input: Settings: - Enterprise Controlling-----Consolidation------Data------Data Collection------Online and offline data entry-----Settings for Online and Offline Data Entry-----Define data entry layouts

Data entry layouts are created for entry of values either for balance sheet, income statement or for entering quantities (e.g. number of employees) by consolidation units or groups.

3.2. Data collection from Non-SAP Systems: Settings: - Enterprise Controlling-----Consolidation------Data------Data Collection------ Data Collection from Non-SAP Systems----- Define method for uploading financial data

This step is for copying financial data from a file by means of a flexible upload. Pre-defined upload methods are maintained for upload from Non-SAP systems. The above screen displays the format of the file for upload of data.

1.9 Posting using manual data entry input for data entry layout.

Postings.

Go to Data Monitor and select task Data input and select the icon for Test run.. Here in this example we have tried data input for Consolidation Unit ZCOUS1.

Observation: - Data input can be also at the level of consolidation group level. We have only tried at the consolidation unit level.

Click on the icon for Enter and the following screen appears.

Here the data for the FS item can be entered.

250 has been input for FS item 110100 through the manual input entry.

Click on the icon for Update run..

Click on Enter and the following screen appears

Here it can be seen that the FS item 110100 is displayed with 250 which is entered in Test run. Save the entry.
1.9.1 Reports

Total Records From the SAP Menu Choose Accounting --- Enterprise Controlling ----Consolidation Select Information Systems----Database Listing --- Total Records-----Database list of total records.

1.10 Posting using upload of data from non sap system.


Format of text file for uploading data.

Go to Data Monitor and select task Data input and select the icon for Test run.. Here in this example we have tried data input for Consolidation Unit ZCOUS1.

Observation: - Data input can be also at the level of consolidation group level. We have only tried at the consolidation unit level.

Click on the icon for Enter and the following screen appears.

Here we give the path where the file is stored.

Update run-----

The actual record is written for Consolidation unit ZCOUS1 for the above data.
1.10.1 Reports

Total Records From the SAP Menu Choose Accounting --- Enterprise Controlling ----Consolidation Select Information Systems----Database Listing --- Total Records-----Database list of total records.

Observation: - The data for FS item for 199 has overwritten the previous data for FS item 110100 and the total record shows the current figure of 199.

5. Consolidation Data
This is required for getting data into EC-CS for methods other than real time These steps are required only after data is into EC-CS and processed for final consolidation
