Highlights from October Meeting (Full minutes are attached):

NEW! Rookie of the year we will have one for trucks and one for tractors. Scoreboards are not to be rented out to a venue that has not contracted with MTTP. Rules will be standardized and updated on our website. Meetings will be held on the first Monday of each month beginning in December. A term change for board members would help in making the change-over less confusion. Contracts will be sent to fair boards prior to convention. An equipment charge may be added to the contract in an effort to ensure the proper equipment is available. 2012 Volunteer points discussion to be voted on during November meeting.

Meeting Minutes
October 2012 Call to order Eric Merchant called the meeting of the Michigan Truck and Tractor Pullers to order at 7:07pm on October 8, 2012 at the Crazy Horse Saloon in Rockford, MI. Roll call Sign in sheet was routed. The following people were present:

Financials Motion to approve financials through October, 2012. First: Glover; Second: Derks. Motion passed. Discussion 2012 Awards Awards for 2012 Pulling Season were discussed. NEW! We will route a form for the various awards forms must signed by active members to be valid; but would be confidential as they would only be reviewed by Board Members. NEW! Rookie of the year we will have one for trucks and one for tractors Pull of the year Recommendations included: Big Rapids, Holland, Hudsonville Puller of the year there will be only one (not one for trucks and one for tractors) Git R Done someone fixing their junk all the time and keeping it on the track. We will vote on the 2012 Awards at the November meeting!

Scoreboards Scoreboards were rented for a separate venue this year. MTTP has not received payment for the rental. The amount agreed on was $400. Adele will check with Agritronix to see what it will cost to have them repaired. Scoreboards are not to be rented out to a venue that has not contracted with MTTP. Rules Clarification The class rules will not be changed; however, at the next meeting, we will be discussing process rules, i.e., registration times, tech inspection process, what will disqualify a puller, how many points for disqualification, how many points for showing up, volunteer process, etc. At the next meeting, we will be proposing changes to the by-laws, as they need to be updated. We will review them in the next meeting and discuss proposed changes. Rules need to be updated on the web-site. Class rules will be standardized No changes, just putting them in a common format. Board Members Changing all board members at once can be confusing to the new members. Recommendation next time positions come up for election, we will shorten the President or Secretary position. We will vote on this at the November meeting!

Meetings Agreed the first Monday of the month will be the meetings. Crazy Horse is a good location. Adele will confirm with Crazy Horse this will be okay. Insurance Does our insurance cover the exhibition drivers? If it does not, this should be mentioned in the contract. If a puller is going to hook to our sled, their vehicle must pass our inspection. Add to our contract local classes are not covered under our show. Perhaps we should ask the fair provider to provide proof of insurance. Recommendation to have fire extinguishers at the beginning and end of the track. Schedule for Next Year Should we send out contracts prior to the fair convention? Yes We are open to take on additional pulls throughout the year. We can get a sled from another vendor, if Nearpass is not available. Add to the contract, if equipment is not available, there will be a charge. Tech Inspection Points 2012 o o o o o o Needs to be complete by Drivers Meeting Should be teched every time.

Volunteer points were voted in last year; however, there clearly was a lack of communication as the majority of the membership did not realize this was in place. Points were awarded to those names on the sign-up sheet that wrote their names legibly. The volunteer points affected the results of Field Farm and Hot Diesel classes. Recommendation to have 2 champions in each of those classes. One would be the Points Champion and one would be the Points Champion / Good Samaritan. Another recommendation to just include them. Another recommendation to just exclude them. We will vote on this at the November meeting!

2013 Recommendations o One specific class always responsible for hooking for another specific class. o Make the flag and hook / unhook positions paid positions. o Keep the volunteer point system just make sure everyone is aware that it is part of the points structure. o Eliminate point system - get volunteers by forcing people to sign up at the drivers meeting. o We will vote on this at the November meeting!
